Question: Outlook 2010 - Alerts for 2nd Account not working

Good Day

I have 2 accounts in my Outlook - A primary work email address and a second one - The supportdesk email of the company I work for(exchange account). Now I set up sound alerts and a desktop notifications for all mails but it does not work for the second account - When a new message comes in in inbox, I do not get any alerts.

I did some research and apparently Outlook only supports alerts/notifications for the primary account. I tried making the supportdesk the default./primary account but I still do not get alerts for it.

How can I get alerts for the 2nd exchange account(shared mail account)?

Is there a way I can set up this 2nd exchange account(supportdesk) in live mail online?

for some reason outlook 2010 does not show new desktop alerts, play sound or show the envelope in the systray when new mail arrives. I am running windows 7. I have rules set up to display a desktop alert & play a sound upon arrival of new mail. These are also set up in the options tab. anyone else have this problem. I thought it may be because I only check my email a couple times a week but I have been checking daily just to check that theory........& still no good

You can do a Google for outlook 2010 alerts not working and get a lot of hits about this.

It may depend on what type of account(s) you are using, such as POP3, IMAP, etc.

Earlier this week I was having a problem with another program that I thought was being caused by something corrupt in my workstation's domain user profile. So using the machine's local admin user, I renamed my domain user profile folder to something else, deleted the registry key for that user profile, then rebooted and logged back on with my domain user name. This created a new user profile folder in C:\Users. Then I went about copying my files over, bookmarks, set up all my e-mail accounts again and imported calendar and contacts from the file in the old user profile, etc.

Well now my Outlook 2010 will not display a desktop alert when new mail arrives, and sometimes won't even make the sound for new mail. I have 3 different IMAP accounts on my Outlook, with my office e-mail being the default account. Desktop alerts have always worked fine on this machine, with Outlook 2010, with this e-mail account, before recreating my user profile. Now suddenly it doesn't want to work at all. The little mail icon shows on the far lower right, but I run dual widescreen displays and I don't always see that icon way over there. I'd rather have the desktop alert pop up near the middle (right of left screen, or left of right screen) where I'm more likely to see it.

I tried turning desktop alerts off and back on in Options. Also tried right-clicking the Outlook icon in the system tray and turning Show New Mail Desktop Alert off and back on. Nothing seems to be working. Any ideas?

Anyone have an idea what might be wrong here? It's really annoying to click back to Outlook (underneath other programs open) and have a bunch of new emails because I didn't notice when they came in.

I installed MS OFFICE 2010, without Outlook, over 2007 with, thinking that Outlook would remain. Not so, and after a long phone conversation with MS Rep, who couldn't adjust settings to repair, offered to ring back after the weekend. Before she rang off I very tongue in cheek suggested she asked her manager if Outlook 2010 could be installed free, for my trouble!Great result as, when call back came manager had agreed, for my trouble to install, free. Great stuff.One up to Microsoft. Only slight niggle, and I can't complain really, I don't get the email alert message in corner of monitor.I don't think the problem is caused by Outlook.I've checked the necessary boxes in Settings and Options, but think cause may be because I use an IMAP email server.Can anyone confirm, and suggest a solution please?

I am running Outlook 2010, Windows 7 & continue to have a problem with new mail alerts & icon in the systray. I have everything marked for sound & desktop alert yet sometimes it works & other times it doesn't. I run Outlook 2010 @ work with XP & it functions properly all the time. Don't want to switch to Live mail, but at least I get the alerts of new mail

My outlook email account is on exchange server. I had created some rules to move mails to other specific folders and to display a deskotp alert on message arrival on these folders. Back then it was showing the desktop alert but now it isn't.

Desktop alerts for inbox is still working fine. I even created a generic rule with no conditions and just the action to display the Desktop Alert for all incoming mails and that too is working fine. It doesn't work only when I try to implement desktop alerts on specific rules.

I tried exporting, deleting then importing back all the rules but no good.

I don't know if it is of any importance but here is what I did something recently. As it is a client side rule and will not work on outlook webapp so few days ago I created a copy of all the rules and removed the "Desktop alert" action so that this copy of rules will work for webapp. Still the desktop alerts worked on outlook client but after two days this problem of desktop alerts not showing started. I removed those copy of rules but still its not working. I am not sure if this is the cause of the problem.

Any ideas?

Have you reset the Desktop alert again. Open Outlook select File, then Options, then Mail & tick the box for Desktop Alert.

I have a "defer delivery" rule that I've set up. It delays the sending of Outlook emails so they sit in my outbox for a minute before leaving the computer. But as of late they are just sitting in the Outbox and not going anywhere - not always, but some of the time.

I've tried disabling Com add-ins, anti-virus, checked POP settings and called the provider. I've also tried deleting the rule and re-creating it. None of these have solved the problem.

Any ideas? Thanks if you can help!

Yesterday, my Outlook (2010) stopped retrieving e-mail from the Comcast server.  When I tried to fix it today, it still wouldn't work.  All the settings were correct, but it wouldn't retrieve my e-mail.  I deleted the account and recreated it.  Now, Outlook points to a new .pst file instead of my old Outlook.pst file, named [email protected]  To make matters worse, it doesn't delete the mail off the server.  Before, when I would open Outlook, it would download new message to my Inbox and delete them off the server.  The new messages would stay permanently in my Outlook inbox.  No more.  Now if I manually delete one through my Internet browser, it also deletes it out of my Outlook Inbox.  It’s as though the new account is just a window to the Comcast e-mail server.  I tried changing the Root Folder Path on the Advanced tab of the e-mail account settings to point to the location of my Outlook.pst folder, but that made no difference.  I also tried deleting a recent Microsoft update (KB3054976), but this did not help, either. This is a complete disaster for me, as I can't even send e-mail now, except through the server.  Any help will be greatly appreciated.

I figured this out.  When I reconfigured my e-mail account in Outlook, I used IMAP settings instead of POP3.  This was not how I did it before.  IMAP works great if one wants to keep all e-mail out on the server and access it from various devices.  That isn't what I do.  I changed the profile to POP3 and the poblem was solved.  Still don't know why it initially failed two nights ago, though.

Hey all,

First, thanks for creating such a great forum. I'm a recovering OSX user who has switched back to Windows.

I'm running Office 2010 on Windows 7 and my alerts aren't appearing when i receive new mail. No pop-up, no sound. Even though i have both options selected. Any idea why this is happening?

I'm wondering if there is some interference occuring with the Toshiba software that was preloaded on here....lots of little programs that clean and secure everything...at a premium price.

Here are two things that confuse me.

#1 Mozilla Thunderbird alerts are working (I use Mozilla for personal email and Outlook for work)

#2 Outlook Schedule Alerts are working fine.

Any idea or help?

Don't know if it is a 7 issue or a Toshiba issue.

If the email account is IMAP, the alerts will not appear, but the icon will change ever so slightly. The icon change is affected by the taskbar setting Small Icons (tho' I forget whether large or small works best).

So, is your email IMAP?

When I put a rule in, I find that the junk mail filter catches the email and puts it in the Junk Folder where the my rule is meant to put the email in the delete bin.

Basically, I created a simple rule that looks at the email's subject and body searching for a long list of words (sex, cialas, viagra, get your free, etc..) and set the message to delete.

All the emails still fo to the Junk bin.

What am I doing wrong.

Exchange's rule takes precedence over client rules. If the Exchange server (and it's filtering program) tells a mail to go to Junk Mail, thats where it'll go.

Try this instead:

Open Outlook (assuming you have 2003)
Click Action, then Junk Email, then Junk Email Options.
Check Permanently delete instead of putting in Junk Mail..

I setup the rules for sending my email to my outside email address and cell phone and it never works. I tried forwarding the mail and redirecting it and still no go. I also tried the out of office assistant and still no go. It will work if I send it to my internal work address but no outside anything!! I have zero clue what the problem is with it. Any help?

I can't for the life of me get desktop alerts work on Outlook 2007 on Windows 7. I'm using IMAP (with zimbra - that shouldn't make any difference though), I didn't have any addition rules, except the "clear categories" default rule, which I deleted anyway, so that it wouldn't affect the desktop alerts. I have this problem on a lot of computers with the same configuration. The Notification area shows all icons (I don't like to have hidden items).

I went to Tools - Options - Preferences - E-mail Options - Advanced E-mail Options. I checked all boxes, including "Display a New Mail Desktop Aleert (default Inbox only)". The duration and transparency are default (7 seconds, 20%.). If I press "preview", it works fine.

I'm thinking that the problem might be related to what outlook considers to be "default inbox only". As you might know, outlook 2007 always creates a default personal folders pst, which is local, and another mail database for imap. The envelope in the notification area does show up, but when I press it, it selectes in inbox in the personal folders, which is rather useless. I also set Outlook to start direct into the IMAP Inbox, instead of the Personal Folders Inbox, but I don't think that makes any difference as to what it considers "Default Inbox".

Any ideas?

Hi Everyone,

I use imap e-mail account (not a gmail) and outlook 2007 client.
I have several rules to dump mails to different folders, they should work automatically, however it is not the case, e-mails arrive and no action is taken.
When I run the rules manually, it works as expected.

And yes rules have small box checked next to them, meaning that they are active, but it doesn't make any difference if it is checked or unchecked behavior is the same, no action is being taken unless i run the rules manually.

Summary: no action is being taken by outlook itself even-though rules are enabled.

How many rules do you have ?
Try changing the order of the rules (or disable the rules one at a time), I've seen in the past that sometimes 1 rule will cause the others not to run or work properly. I've also heard that an MS update caused problems with rules in the past

How can I solve that so that I have all my accounts just in one pst?

Hello. can anyone help.
I am trying to add a POP email account to Outlook 2010. I've established network connection but cannot retrieve the Outlook Test message. An error box comes & says unable to connect to the server. 550.5.7.1 message content. I have had this POP account on previous versions of Outlook 2010, & it was ok I am puzzled.

Without knowing more about your mail server name and such.
Have you tried to Ping your mail server? like from the run cmd prompt ping mail.xxx.xxx
I ping mail.cpcug.org to verify that the server is on-line and responding.

You could double check all the options in outlook setup email accounts to make sure that
you have spelled everything correctly, that sometimes is the problem where mispelling will
mess you up.

also the more settings options will have to be looked at to make sure that the boxes are checked correctly.

These things can get tricky if you misspell, many mail servers want your complete email address for the logon userid..

I am starting a new thread. Last week I posted a complexsituation with captures attached of a serious issue with Outlook 2010. Before I started work I created a Acronis TIBimage ? and as I worked ? and degradation developed, tweaking Outlook 2010, Ihad to repeatedly resort to that original image to get back to the originalstarting point/.

I have managed to get Outlook 2010 working except for thisone issue. Please look over the captures attached. It deals with Brent?s emailaccount ? listed in duplicate.

In my experiments I keep ending up with two accounts. InControl Panel/Mail/Email tab is listed the working Brent email account. Thataccount is not marked as Default. Because in Mail/Email Brent account is notmarked as default I have issues. That working Brent account that not marked asDefault I can send and receive.

There are two Brent email accounts. Two exact accounts -with a slight variable. I have in Mail/Emailthis account:[email protected]

In Mail/Data File I have this:

[email protected]

If [email protected] marked as Default I would have no issues with the Brent account.

Because the [email protected] marked as default that creates the problem. And I cannot delete the [email protected] in Mail/Data File. If I could delete the Default [email protected] Iwould then be able to mark [email protected] Default.

I rarely use the Control Panel > Mail and profiles when setting up Outlook as POP3 or IMAP. I just leave the profile as the default (Outlook I think.)

For POP3
Install and open Outlook. Continue without email support. It will create a default Outlook.pst in Documents > Outlook Files.
File > Open > Open Outlook Data File and open any and all my transferred .pst
File > Account settings > Data Files and assign the default to whichever I want
Close outlook and reopen with new data file as default.
Right-click the default Outlook file it created and close. Then I delete it.

Now I setup my POP accounts in Account settings email accounts making sure to point to my default pst as I like all mail coming into 1 inbox.

Have not had any issues doing it this way.

Answer:Can't add new email account to outlook 2010

Try changing your user name to something else. It's possible the user name you are using is already being used by someone else on that email server.

I have several business email addresses. I have just created a new one, but I can't change the 'email from' address. I set a new contact up for it so I could select it via 'other email address" but the next dropdown box down, the 'send email using' still doesn't contain this new email address.
It has its own folder into which email is delivered, but starting from there still doesn't help fix the problem.
I hope this makes sense.

Okay, I have had this problem several times and now I want to know what is causing the problem. In outlook you can add certain folder to your favorites so that they appear like short cuts at the top of the navigation window. But from time to time different imap short cuts don't appear and then I have to close and restart to get the short cuts to reappear.

Any ideas as to why?

Also if you go to the inbox, if that is one in your favorites, and right click it gives you the option to remove from favorites even though it is not displayed. After removing and adding will also show them back at the top. But this is a pain in the back side.

First off I just wanted to say you guys are awesome! Second, thanks for supporting this website. This is truly a way of giving back and making use of God's (or whatever you believe in) given talents. Keep up the good work guys and gals!

Anyway, I've searched the internet already for answers. but since i'm not a techie it's really hard for me to determine which is which.

OK, so here's my PROBLEM. I need to open emails on my deactivated Outlook 2010. So my previous company told me that it's OK for me to keep my computer but since i left I am no longer able to open the whole program. On the start button if I type in a certain email, it still shows up and has headlines, so i know it's still there. Even the most latest ones before i left. (until jan 2015)

There are certain files there that i need to get and i really need somebody's help to get it.

If in case it is not possible anymore, i have a copy of the old pst.file (until aug 2014) we switched over to ms exchange. Can somebody point me how i can copy that over to either my microsoft live mail (it's not that good) or help me copy that over my mac mail (if that is better)

Thanks for your help guys. Any video or direct links to answer would definitely help.

I'm sorry but this is not something that we can help you with as we have no idea if you are authorized to view those emails and this could cause an issue for your former employer.

Actually, when given the laptop, it should have been wiped clean and Windows reinstalled. If they don't mind you having access to those emails then they are the ones who should help you do so.

Since there's nothing we can do I'm closing this thread.

I've had Outlook 2010 installed for over two years on my laptop and everything has worked great.

The other day, I tried to set up a new email account and when the wizard appeared, it didn't give me the choice for MANUAL setup. I then realized that the window for the wizard was not showing all the words... the sentences ran past the viewing window and outside where I could not see, which is where the manual set up button was "below". There are no scroll bars or a way to adjust the wizard and I even tried playing with my display settings which did not work either.

I did find a work around that got my email set up but I couldn't go into advanced settings to adjust ports because of the same issue. I've looked everywhere for a fix and haven't been able to find anything... please help!

Is there any possibility to get a working access to the account of MS Office Outlook 2010 if you lost the user password? There is a password of the administrator but if change this password, there is a dumping of the password in outlook. Windows Server 2008 OS.

Under Win 7, I have Outlook 2010 installed with 3 email accounts. When I open Outlook it searches each account for new messages. I would like it to search only one of them.

Hi all. I just installed Outlook 2010 and created 3 email accounts, 2 from Hotmail and the other from my ISP (cablevision). It seems that my folders from Hotmail came over but not those from my ISP. Should they have? Also, how do I import my contact into Outlook? I certainly don't want to re-enter them again. Thanks. Alan

I have deleted and recreated the *.ost file several times and it still asks for the password several times and then comes up with the following message. "Cannot expand the folder. The set of folders cannot be opened. The file C:\Users\Ed\AppData\Local\Microsoft\Outlook\sundancer245_hotmail1.ost is not an Outlook data file (.ost)." I have no problem accessing this account in FireFox and none of my other Hotmail and Outlook accounts are causing this problem in Outlook 2010. I am running Windows 10 on this computer and on my Wife's Tablet and I can access the Problematic Hotmail account from the Tablet and also from my new Lumia 950XL windows Phone 10. I have multiple accounts in outlook 2010 and recently changed them from POP to IMAP so they synch. automatically with other devices. But I can't delete the original account (the primary account). What I would like to do is delete the original POP email primary account and its data files, designate another account as the primary and re-load the old primary as a new IMAP account with a new set of data files. Any ideas?

I can't get my outlook account settings to open. I click on file/account settings and nothing happens. The add account button works, the mailbox cleanup and rules and alerts buttons work. I've tried the following:

1. Open Outlook in safe mode - no result
2. Open Outlook as administrator - no result
3. Open send/receive and folder tab - right click on account and select account properties - no result
4. Open File/Options/addins/go disable all addins - no result

I'm stuck. Any ideas

Did you realize you need to click both Account Settings buttons, first one opens the second one:

The sequence is File > Info > Account Settings > Account Settings. The second Account Settings button that opens beneath the first one when it is clicked is easily taken as just a tooltip, but it really is a button you need to click.

I have always had bother sending mail as I use two accounts; Demon and Yahoo. My internet connection is BT ie Yahoo.In Outlook 2007 I selected account in the top left hand corner of a mail and selected "yahoo" and no problem sending for some years.Same difficulty in terms of posting provider with Outlook 2010 but I cannot find the "select account button" anywhere.Can someone tell me where to look or how to change please? Hi Everyone,

I'm hoping someone will be able to shed some light on an issue I'm having with Outlook 2010 concerning multiple email accounts.

I run a small home based business and have 3 seperate web mail address ([email protected], [email protected] and [email protected]) To save time I wanted to have my email managed by Outlook 2010 instead of having to log into the 3 accounts to check on new messages.

I set up the first account (myname) in Outlook easily and can send and recieve emails to that address. I then set up new accounts in Outlook for [email protected] and [email protected], by going to 'File' and 'Add Account'.

Each account name appears as a separate entity on the left side of Outlook, with it's relevant name followed by Inbox etc. However, the inboxes for the 2 new accounts only contain emails for the [email protected] inbox and I'm not recieving email for the 2 new accounts. The server test didn't flag any errors either. I have looked in 'Account Settings' and 'Data Files' and each account has it's own seprate data file such as C:\Users\My Computer Name\Documents\Outlook Files\[email protected] but I can't figure out how to make the incoming mail for each address go into their respective separate inboxes in Outlook.

I'm running Vista Ultimate (64) on my desktop and Windows 7 (64) on my laptop and have the same issue on both machines.

I need to change my email account within Outlook but when I go to 'Account Settings' there are no accounts there, and so nothing to change.

What could be causing this, how do I access my account and how do I rectify it??

Hi,I tried to set up my gmail account on Outlook 2010 with no success. I checked the settings in gmail and see IMAP is enabled. I tried both the auto process and manual from various site searches I did, followed the instructions, but it didn't work. I know this is user error but I don't know what else to do. Has anyone configured gmail on Outlook successfully? Thanks!

Dear Friends,
I have problems setting up Outlook 2010 to use the appropriate email account and signature automatically when replying to messages.
I use 3 email accounts, and for each account I have created a distinct signature both for new and reply emails.
The problem is that when someone sends me an email to any of the 3 accounts and I reply, no matter what, Outlook always uses the reply signature of the default email account. It should use the reply signature corresponding to the account the email was sent to.
So far, when replying to messages, I always have to remember to manually switch the ?from? account to match the account the sender used to send me the email.
Outlook is supposed to use the appropriate account when replying to messages. So if someone sends an email to my business email account, and even if that is not the default account, Outlook should use the account and signature I have assigned to reply to messages for that specific account and not always use by default the reply account and signature assigned to the default account.
Please help me resolve this issue so that I do not mistakenly reply to someone using the wrong account.
For example, I do not want to reply to family and friends with the account used for business. If family and friends send emails to my personal email account, Outlook should automatically use that account when replying and thus inserting the reply signature for my personal account.

Lets start with a few questions to eliminate the obvious. I assume you setup the signatures seperately for each account using this panel?

One suggestion I read, was that the signature it picks to use is related to the folder that you currently have highlighted. I'm not entirely sure how that works, perhaps you could experiment with that?

I'm running windows 8 on an intel i7 machine with 16gb ram.
I just installed outlook 2010 64bit and every time I add an email account Outlook crashes.
No error message - just says "Micrsoft Outlook has stopped working"

I could really use some help please. I had an Outlook 2010 account as a contracted person with the UN and they killed the account and decided to use a gmail account (I have no idea why!). I would like to get all my emails (folders too if possible) on, say, a USB stick and then put it on my new work computer.

I tried the Export function but you need to sign in and the account doesn't work. So, can I copy the outlook.pst file or even all of the .pst files and then open them somehow in another computer with Outlook?

I don't want to use these anymore to contact or respond, I just want to have the messages and the addresses of the people who sent them to me and my outgoing messages and conversations too.

So what can I do here?

Hi - I am running Outlook 2010 on a Win 7 Professional 64 bit system.

I have been running basically the same configuration successfully for over a year now, with multiple email accounts. Everything worked fine up until this morning, when I was sending a series of emails with attachments. Each email's attachments totalled up to 6 mb, and the grand total of all of the attachments was about 24 mb.

Everything went smoothly up until my last email, and it just sat in my outbox and wouldn't go anywhere. I eventually sent it with a different account with a different ISP.

I have tried sending other emails on the same account, some without attachments, some with small attachments, but it appears that the account is "broken" for sending email. I can still receive email on all accounts and send email from every other account.

I have double-checked the settings for the troublesome account and when I use the Test Account Settings button everything appears to work fine as it successfully sends the test message.

I found a reference to a built-in limit for Outlook attachments of 20 mb, and ran the Microsoft fixit which removes that limit, but it had no effect.

One curious thing is that when I hit the send button, which places the email in my Outbox, the email does not have the italicized font which indicates an unsent message as was always the case up until now.

Any hints would be most appreciated -

I had a look at the Outlook add-ins that were active and disabled the iCloud and iTunes add-ins. Everything seems to be working at this point.

There was an iTunes update a day or so ago. During the installation Apple does not even mention that they will be messing with your Outlook installation.

Once again Apple screws up Windows applications.

During the Office 2010 installation you have the option to choose whether to have everything installed to your computer, whether to install just some of the options, whether to install on first use or not install a particular option such as Outlook.

Can you remember which options you chose?

You can always reinsert your Office DVD and choose the repair option or uninstall it, and then re-install choosing all the options.

Hi all

I haven't discovered a way yet of switching a POP3 account to IMAP without deleting and re-defining the email account in Outlook 2010.

IMAP is a better way if you access the same email account from multiple machines. If the account was originally defined with POP3 there doesn't seem any mechanism to change it to IMAP without deleting and re-creating the entire account.

This means backing up and restoring all the messages, address books etc before doing this -- a bit of a pain if you have to do this for 50 - 100 users and their email accounts.

Any quick fix or have I missed something.

You haven't missed anything, as far as I know there is no way to change pop to imap.

A bit of a warning though, in the past when I have switched users from pop to imap and I added the additional IMAP account then moved the stuff from the pop account folders to the IMAP, sometimes email etc just disappears completely despite saying it had copied.

Hello,

A customer is getting the following message when going to tools "rules and alerts"
"U werkt momenteel off line. Als u deze opdracht wilt gebruiken, moet u verbinding maken met de Microsoft Exchange-server"
freely translated: "You are currently working offline. If you want to use this command, you have to connect to the Microsoft Exchange-server"
The customer doesn't have exchange server, he just wants to filter out spam mails that are indicated with a prefix "[SPAM]".

Anybody knows how to put the rule?

I have Outlook 2010 on two PCs and use the Hotmail Connector to synchronise my contacts with my Microsoft Account (people.live.com).

I can create/delete contacts on any PC and at the web page at people.live.com and these will synchronise across all accounts. However, if I change details of an existing contact on the PC e.g. change the phone number) then this is not synchronised. If I change the details on the web page at people.live.com then the PCs do get updated. Has anyone any advise how to troubleshoot this problem to ensure that changes to contact details in Outlook 2010 are synchronised correctly across all accounts?

I recently loaded a pop3 Hotmail account to my Outlook 2010 since I was having problems with the MAPI Hotmail sending multiple copies of emails with large attachments. I am hoping the pop3 version will eliminate this problem; however, I can't seem to get the pop3 account to find my contacts and Contacts folder does not appear in the folder list. This is stressing my pea sized brain and I sure could use some help.

I am using Outlook 2010 on W7 64 in my home office. All my email accounts are POP3. My part-time work wanted me to use an email account on their Exchange server (2003). I used the email account setup in my Outlook to set it up successfully. Outlook searched out the Exchange server and set up the account.

I closed Outlook and when I reopened it, my Favorites were gone, all POP3 accounts were shuffled in the left pane, all my previous accounts now funneled all emails into one Inbox, and all my Rules were gone. When I tried to redo the Rules, Outlook had changed so that the Rules now applied to ALL the Inboxes for all accounts and did not have the same rules dialog as I had been used to. There was no way to recreate my rules or separate out my POP3 accounts. Now all my email is dumped into one Inbox and I have to manually sort out the messages.

Thinking that the Exchange account was to blame, I deleted the Exchange account, but to no avail. I had to reconstruct my Favorites (no big deal) but there is still no way to redo the Rules and all my mail still goes to the main Inbox.

Is there any way to get back to the way it was? Thanks.

Hi guys, as I am using both a laptop and tablet to check email I have set up both devices with imap accounts.

The issue is that I don't want to lose all my old folders and email from the old pop3 account and I can't find a way to move or copy them to the newly created account on my laptop so I'd like to leave the old account, inactive, in Outlook.

Also, I don't want to get messages into two different folders.

Is there a way to disable the old pop3 account without removing it?

I have tried deleting the password so it won't send/receive from that account but all I get is the constant "enter password" box which is naturally not an ideal state of affairs.

I'd appreciate any advice users can offer.

you can simply move the emails of your pop account by going to "edit" on the top left corner and "select all" you'll see that all your emails are selected, then right click and select "move to folder" and move it to your IMAP mails location. and doing this may allow you to remove the pop3 account.

I've just upgraded to Windows 7 and have installed Office 2010 which I also had on Vista, in Vista however my email *****@optusnet.com.au was part of personal folders, but now they are separate, I'd like not to see a separate menu for *****@optusnet.com.au but instead have all my emails under the Personal Folders menu, any ideas?

Hi

I have recently changed my ISP to BT from Eclipse. Previously Outlook 2010 was configured to allow emails to be downloaded from the Eclipse servers and to enable me to send emails using Outlook 2010 using my Eclipse email address. I also have Outlook configured using IMAP to enable me to download emails from Gmail. I can no longer send emails using my eclipse email account.

Can someone help me to reconfigure Outlook so that I can send and receive emails using the Gmail servers from Outlook 2010 as my primary email source.

I wish to carry on using Outlook 2010 as I have many saved email folders in the account.

Any advice would be gratefully appreciated.

I solved it! One complication was that my Microsoft email address is personalised and doesn't end in .outlook.com. The procedure is:

Uninstall the Outlook Hotmail Connector since this no longer works.If your MS Outlook email address doesn't end in .outlook.com then you need to create an email alias online in your MS account which does end in .outlook.comAdd a new account using the account wizard using your MS Outlook email address ending in .outlook.com (which can be an alias)The account should configure quite quickly. You then have to restart Outlook 2010 and it will download and synchronise all emails, contacts etc.

When multiple accounts are added on Outlook 2010 and you create a new email, autocomplete in the 'to' field shows suggestions from every account. Is it possible to only show suggestions relevant to the account the email is being sent from.

For example, if I had my personal account and a customer services account, when I go to send an email from my personal account, every email address who has ever communicated with the customer services account shows which is quite risky.

Have you looked in the help section of outlook. The only thing i can suggest at the moment, is click the contacts in outlook,and then the little arrow next my contacts, there you will find yor email accounts with suggested contacts and contacts, see what happens when you try that.

Hi I was having a problem where outlook was not syncing my sent mail past last week.

so I deleted my email address account and wanted to start again and change settings from pop3 to imap

When I deleted the account I found I could not fully remove it from the side pane as it was set as the default email address.

I then decided to re add the same email address in the hopes that I could use the new one as default and delete the old one

Now I am still stuck with the same email address that I could not remove from before and I am having a new problem where the sent mail will not sync from today

I have uninstalled office and re installed it but the address is still saved somehow?

Open Control Panel, select the Mail (Microsoft Outlook 2010), when that opens select Email Accounts, that will then open your email accounts & you will see that you can remove accounts, reset the default account & set up a new email account, as you can than follow through from here to set up all the details for a new account.

All Outlook account details are stored in your Documents Library under Outlook Files & are stored in .pst format & can only be accessed from within Outlook & any changes can be done as I mentioned above.

Recently a customer of the company I work for did some upgrade to their system (not exactly sure what). The result is that when they send a mail containing a hyperlink to file on their website, the link doesn't work.
When you hover over the link you should get something like 'https//thiscompany.com/page.do?DOCID=123456'.
However, what we actually get on Outlook 2003 is 'outbind://39-00000000C176F3FF67E6754394476777057BDCA60700071475F5FEB9AC4FABB3D7C8EE9381620000007059
EB000088DD1DB25534C84FACDD47289A5756BB000000B81C170000/thiscompany.com/page.do?DOCID=123456'.
On mac mail it looks like this 'x-msg://24/thiscompany.com/page.do?DOCID=123456'.

The links work fine on Outlook 2010. Any idea what's happening here?

Hotmail Connector is no longer supported and will only work with the old Outlook.com. After your Outlook.com account has been migrated to the new Office 365 backend, you'll need to re-configure your account and not use Hotmail Connector anymore.

My Outlook 2010 search has stopped working (32 bit version on a Windows 7 64 bit version). It just say's searching & then finds nothing every time even when I know the item I'm looking for is there & I can find it manually.
I have tried various fixes recommended, like rebuilding the index etc, all to no avail !
Does anyone have a solution to this ?

I have Win7 64 bit and IE9 and Firefox loaded. When I click on a hyperlink within a trusted e-mail it says "This operation has been cancelled due to restrictions on this computer. Please contact your system administrator." I am the administrator but cannot get this to work. This has happened since I updated my IE a few months ago. I have tried the usual fixes but not registry key fixes as I try to leave them alone. Is that the only solution or is there something else out there? Should I remove IE9 and start over? Any help would be appreciated! Thanks

I have used this previously, and have huge archives and inbox. So need to keep it. A few months back I let my email address go (it was on a website/hosting that i have discontinued), so have been making do with yahoo. ugh.

Today a friend set me up with katamail, which is a free italian pop/smtp email, he is quite techy and has used it for a while. So with guidance from him, I added another account, and made it the default. All looks fine, and the test message reported as ok.

But..... it doesnt work. When I open Outlook, it is still trying to connect me to the old address, which is not default any more. I dont receive. When i try to send, i can see where to switch to send from new address ok, but it doesnt work.

The send/receive details window reports "in progress", but is paralysed - I have never seen that before. No error messages, it is just stuck doing nothing.

I think something must be corrupt somewhere. Any ideas please? I am nervous of uninstalling and reinstalling Office....

The pc is running Windows 7 Home Premium and has Norton Internet Security v 20.3.1.22

I have Windows 8 and Outlook 2010, in which I have 3 e-mail accounts, all with the same ISP, all are pop3. The first account works fine. However, the other 2 wont download the messages from the server. I know there are messages there, because I can log in and see them on mi ISP webmail option. I can send e-mails from all the accounts correctly, however, the other 2 wont download them from the server.

I have another computer in which is running Windows 7 and all three accounts work just fine. I have checked the settings, all are fine. I have even contacted my ISP and had them check the settings. They too concluded that it appears to be a Windows 8 issue.
In an attempt to resolve, I have uninstalled and reinstalled Office and Outlook 2010, however it doesn't resolve the issue.
Any suggestions?

Hello Everyone,

In Outlook, I just started maybe within the past month or two using the search very heavily. At first, it worked without error, but then all of a sudden it stopped. I don't know what happened. Now, when I search nothing comes up.

I did a Google search and tried to rebuild the index, the inbox repair tool, Office 2010 Home & Business Repair and restart of the computer. Still the search is not working.

Should I uninstall and re install outlook? Should I start a brand new .pst file? Any other methods.

Here is an update. Since, the options I discovered from doing my research didn't work. I decided to start from scratch. I started a brand new .pst file, deleted my mail profile and started a new one. I also use iCloud for my iPhone and I signed out and removed. I then imported all my content from the old .pst file and just re setup my email accounts again. Then re installed iCloud.

The Good news is, it fixed the problem and my search works flawless. Here is the bad news, the search doesn't work at all for iCloud. Both options under Search Tools: Locations to Search, Outlook and iCloud are both selected, but with still no luck. Since I don't use iCloud for email that is why it is working for email, but I do use iCloud for Calendar, Contacts and mixed tasks.

Is there a way to fix this so I can search Contacts etc. for iCloud?

Last week I had to rebuild OS on my Asus K501J laptop running Windows 7 Home Premium. Since then I have had a multitude of problems that required downloading some third party utilites.

I also have a huge problem in Outlook 2010. Before the rebuild, I was able to add names to a distribution list by clicking the group and using the add from Contacts. Then a list of the addresses appeared in a dialog box to be selected. Also, if I typed a B for Blake, Bruce, or Bob, I got a pop-up on the To: and just chose the name I wanted.

Now neither of those options work properly. When selecting a name from the Contacts, I get a box with no names and a header that says Select Names: Contacts. I type in the name but the Go button is grayed out. When I place a "B" in the To: box, some of the names I have in contacts are there in the dropdown menu.

In the past when that happened, I only had to send one email to that person by selecting the To: dialog box and select the name. From then on the name would appear in the dropdown menu. That no lponger works.

So, if I have to remove Outlook and re-install, is there an export Contacts feature. I have looked but did not see anything like export Contacts.

Additional info:
In My Contacts there are four folders named Contacts

Contacts - Outlook Data File

Upgraded to Windows 10 overnight. Everything seemed ok this morning until I tried to open my outlook. I get the error "Cannot open your default email folders. Access denied!"

I did notice that on my desktop my folder now has my "first" and "last" name instead of just the first that it had before. It has always (Windows 7 and before) said "Tim" Now it says "Timothy Hestand".

Could this be the problem????

Ok Called Windows 10 got transferred to Office 2010 help. Tech wanted me to redo all of my email accounts be cause all of the data must have gotten corrupted. I explained to him that The error said it could not open the data files because it did not have permission. He tried to tell me that the error message was probably wrong so I told him thank you and started T/S'ing myself...

The error said it did not have permission to access the outlook data files. SO...... I opened my folder on my desktop, opened documents, opened outlook files and checked the security permissions on them.

There is a .pst file for each of your mail accounts. I checked and on each of them the "Home User" permissions had been removed. Ihit edit and allowed access and **** BINGO**** My office 2010 now works fine.

Don't bother calling Microsoft unless you want to go through hours of crap to fix a 3 minute problem.

One of our PC's running Window 7 Professional and Office 2010. We cannot get spell checker to work, with all the options under proofing and Autocorrect grayed out.
Looking at the only guidance I can find at present (see here click here gives completely wrong guidance i.e.In new message, the Home tab does not have a Proofing Tab. I'm sure its somewhere, but I cannot find it. Any thoughts, please.

I am running Microsoft Outlook 2010 on my laptop which is a Windows 7 OS. The PC came with a trial version and after some issues, the full version was installed and is activated.
Quick parts is a very nice part of Outlook and I use it frequently but on this PC it will not retain the blocks of text. I did some searching and found a few answers, one being to find a specific file, which I sort of did, it wasn't named the exact thing they said it was, renamed it as an old version, rebooted so the program would make a NEW file. It did just that but had the same problem of not retaining text after restart. I apologize for not remembering the name of the file.
I see all kinds of problems concerning this on line but few solutions. I searched here but I guess, I didn't search right because nothing was found.
Any ideas or input is appreciated.

The instant search function on my outlook 2010 has stopped working.
I have previously had and then repaired this issue after the initial install of office 2010.
To solve the issue before I did the following.
Search tools > Search options > Indexing options > Modify
Deselect all selected options
Delete and rebuild index (advanced options) and restart machine
Reselect the folders to be indexed.

I have tried to repeat this process but I am unable to delete the MS outlook location
I cannot see the documents and settings folder in the C drive and therefore cannot navigate to User name / appdata / local / microsoft / outlook

I have tried changing the view setting in folder options (to show hidden files)
and I have tried opening outlook as an administrator

I cannot see how to to delete this indexed location

As I keep my PST file on a different partition this means that the search functionality has for the time being stopped completely.

Any advice would be much appreciated.

Outlook 2010: Instant Search not working when Cached Exchange Mode is turned on.

My Outlook able to perform Instant Search when Cached Exchange Mode is turned off.

I had tried:
1. Created new Outlook profile.
2. Enabled Windows Indexing Service.
3. Rebuild Windows Index.

I also followed the steps provided in this page:

Guys, it's like this:
Was using Office 2007 on Windows 7 x64. Did a complete uninstall, cleaned up registry, removed ALL add ins. Rebooted, everything working OK.
Did a clean Office 2010 (technet rtm) 64bit full install. Imported from backup my pst file and rules, contacts, etc.

Outllook works fine except preview handlers. I can preview pdf (using acrobat 9 handler), jpg, txt, but I CAN NOT PREVIEW OFFICE FILES, AKA EXCEL WORD OR POWERPOINT

The preview handlers are installed, I downloaded Stephen Toub's Preview Handler Association Editor, the handlers for office files ARE present, but I get a message in preview pane saying "This file cannot be previewed because there is no previewer installed for it!
Please any ideas someone ????

I've been using Contact Groups on previous computer, but when I moved over to my new PC and loaded Office 2010 along with Outlook, the contacts groups in OUtlook does not seem to work.

None of the groups I had before were imported, although I have imported all of the contacts themselves.

When I create a new Contact Group it seems to be fine - it allows me to create it, add some contacts, and save it. But, I go to create an email and want to use the contact group, nothing will come up as a group. Also, when I look directly into contacts folder there are no groups there.

What to do?

I receive a number of e-mails in Outlook 2010 in which the hyperlink to a Web site does not work. The link shows correctly, and when I mouse over it it shows the URL. However, when I click on the link nothing happens. Other e-mails I get seem to work fine. Any ideas on why some links don't work?

I work for a company that uses an exchange server for the emails.  When they switched to this new email system, i had to upgrade to Outlook 2010.  I receive emails in 3 different exchange inboxes (Fredd, AP, and Billing) which had to be set up in my Outlook.  For ease of use, i created a separate personal inbox and created rules that automatically copy all emails coming into the 3 exchange inboxes into this one personal inbox.  The problem is that, every once in a while, emails don't get copied over from the Billing exchange inbox.  It happens about once a week or so for a 2-3 hour block. This seems to be happening most often on Sundays (although it may happen other times i'm not aware of).  I don't even realize i didn't see the emails until someone notifies me that i didn't respond.  Then, i look at the Billing inbox and the email is there. 
 
Is there something that just causes Outlook rules to not work sometimes?  Can this be fixed?  I am running a Windows 7 64-bit PC.

Try this: Click on File, Options, Mail. Scroll down until you get to the section Message format. One of the options there is Reduce message size by removing format information not necessary to display the message and it is checked by default. Uncheck it and then click OK.

We are on an Exchange 2007 server, and i am running Outlook 2010. I can create a message with voting buttons just fine. But when I get a response and I right click on the respondents answer and click to view voting responses, none of them show up. Nothing happens actually.

When I goto the original message in the sent items, same thing.

Any ideas?

Hi All

I'll working at a IT Tech in my local area and a business has Microsoft 365 exchange server for there email and not working with office 2010 outlook

They install win 10 upgrade from win 7 and was working but win 10 fell over so I backed up info and wiped HDD and put Win7 pro back on and Office 2010 and then outlook setup and it keeps fighting with their Microsoft 365 exchange server for the email.

last point I could get is to was password popup keeps coming back??

I did endup downloading a sec patch for outlook anonymous authentication coz the drop down was missing

I recently redid my GF's grandmas computer and I cant figure out how to get outlook express working on it. im pretty sure i dont have the proper address and settings but i cant find where they are. Does anyone her know what they are?

Sometimes email addresses will auto-complete, and other times they will not when I am composing messages. It's quite irritating. Does anyone have any suggestions for how I can fix this? Obviously, I do have the "auto-complete" option turned "on."

I haven't noticed this problem so all I can do is guess. Maybe something's running in the background hogging cpu cycles. Have you noticed if it's only on certain addresses or is it just random?

Windows 10 64-bit Dell desktop. installed Office 2016 in June 2016. Outlook 2016 working fine until sometime in the last 2 weeks. Instant Search does not find items known to contain search term. Results window reads "No results". Changing search scope to All or Unread has no effect. Tried doing a search and noticed that the instant search in Oulook 2010 has stoped working. Tried this fix below, however it did not work. The rebuild finished in less then half an hour, which is unusual because I ran this on my computer and it took most of the day. Questioning if the computer experincing the issue has cache mode turned on or if their mailbox size is too big. The size of the mailbox is more than 10GB. The email account is an MS Exchange account, so I wonder if it could be an issue on the server.
 
1.       In Control Panel go to Programs and Features.
2.       On the left pane click on Turn the Windows features ON or OFF
3.       Look for Windows Search and remove the check mark .  Windows will make some changes (configures features) and then ask for a reboot
4.       After restart open Outlook . You will notice that Windows will reconfigure Office. Try some search terms in Outlook. It will complain that Search function is not working, which is correct because it was just deleted
5.       In Control Panel go to Programs (note that you cannot search Control Panel  for Programs and Features !)  and click on Turn Windows Features on or off
6.       Turn ON (select) Windows Search, wait for Windows to put Search function back on and then reboot . Wait for Windows to ... Read more

The size of the mailbox will make searching more difficult, but it shouldn't disable it. However, mailboxes that large will run into problems of file corruption. You may want to move what's not absolutely necessary into a pst file, or turn on archiving and move older emails into the archive.

Hi - I'm hoping someone can help. Since upgrading to Windows 8 (from 7) a week ago my Outlook 2010 email has been faulty. It keeps stopping emails coming in or out and I have to (daily) run a 'repair' to get it to work. I contacted my ISP (Virgin) and they said that Outlook doesn't work with Windows 8 and said I should use Live. However, I then added my accounts to Live but it wouldn't accept all of them, and I found the interface very hard to use. Outlook contains all my business folders and email records for my business so I need it to work. It seems to accept my IMAP email account but not the main accounts with my ISP.

My HP desktop machine is less than a year old and has plenty of memory. But also, in general the machine is slower and won't restart (I have to force shut down).

Any advice would be greatly appreciated as I'm tearing my hair out!

Use windows live essentials 2012 and the mail client there. It is almost identical to outlook and optimized for windows 8. I have office 2010 and use excel, word, and PowerPoint, but as for an email client I found that live essentials runs faster, smoother, and you can do pretty much everything you can do on outlook.

Do not use the mail app tile that came with windows. It blows.

I purchased a brand new computer with Windows 8 and Office 2010. Everything set up in a cinch and has been working like a charm... that is, until two days ago. When I launched Outlook, it seemed to take all day to receive my mail messages. Sending mail works fine, but the program never seems to receive my mail. Wednesday there were 11 messages for a total of 1.21 MB that never completed the receiving process. So I went to my webmail server and logged in - all 11 messages were there, and I could open, reply, forward, etc. just fine. I didn't change anything on my computer, I didn't have any technical issues prior to this problem. It's like it just woke up Wednesday morning and decided not to receive any mail.

On top of that, when I close Outlook a window pops up that says "Microsoft Outlook has stopped working. Windows is checking for a solution to the problem", and it shows a green bar that moves from left to right but just hangs out there all day. As I type this, it has been searching for a solution for over an hour.

The email account is a POP3 account.

Anybody got an idea what's happening here? I've searched the internet and Microsoft's website for a solution, but nothing works.

The search function using the search box on outlook is very slow or sometimes leading to no results. This is noticeable even after testing using a different PC setting up my email and having the same size of PST file. Searching takes more than 60 seconds where it should only be maximum 5. The image link will show you that the search options on the ribbon is greyed out.

As per the help, i should go to services.msc and confirm that the Windows Search service is running and automatic. And it is. Even tried stopping and starting again, and restarting the whole PC. So hopefully there is another solution.

Can't tell when this started but upon starting using this PC in my office i know its working fine.

I have taken delivery of my lovely new Dell Inspiron i5 and have installed Office 2010. However, although I have set up my email addresses (4 of them), hardly any emails are arriving in my Inbox. I even sent one from work to my main email address and copied it to the others, and it only arrived on my main email address. I know I have received emails as I have checked using the Talk Talk My Account email access, and there are loads there. It has been suggested that it could be the anti-virus/security settings, but I can't see where it is stopping them. The computer arrived with a month's subscription to McAfee which I intend to stop using after the month when I will install Avast. Any help would be appreciated.
Whilst on the topic of my new computer, it has arrived with a bog standard keyboard which I hate (the keys are too close together for someone who touch types!). On my old Dell I had a lovely multimedia keyboard. I have bought a keyboard adapter so that it can be plugged in to a USB port, however, I am unable to type anything. Any help appreciated as I don't want to buy a new keyboard.

With regard to the keyboard, USB keyboards have a USB plug hard wired and may be supplied with an adapter to use with a PS/2 port. However, a PS/2 keyboard won't necessarily function when plugged into a USB port (via an adapter).
In Outlook, have you set up four separate accounts for your four different email addresses? If the addresses are actually "aliases" for one TalkTalk account, you may have to use four separate Usernames to retrieve messages for the alias accounts.
For example, if your main account login is "username" or "username(at)talktalk.com", you may need something like these for the alias accounts:
andy(at)username.talktalk.com
bob(at)username.talktalk.com
charlie(at)username.talktalk.com
...if that makes sense.

I have recently installed MS Office 2010 but off late I haven't been able to Sort my View with the From and Subject column. So I am wondering what might have caused it, I am able to sort in Sent Items Folder from The "To Column", and other columns in the Inbox as well but not From and Subject Column.

I have tried the reset panes and clear view switches from the command line but no success.

Please Help, my daily work is hampered due to this.

I have 2 email accounts that were configured in outlook and both worked fine. But outlook was slow to send and recieve, not badly but enough that i sought a solution. I found something that suggested i delete a file in C:\Users\my name\AppData\Roaming\Microsoft\Outlook. I didn't delete it but saved it to desktop then restarted outlook. It then would not connect to the email server of one of my accounts, but the other worked fine still. So i replaced the file and still no joy. Deleted the non working account and tried to add it back but it couldn't find the server still so it couldn't configure it and i can't do it manually because i don't know te server settings and the email provider has no info on that. Then i uninstalled office and reinstalled. No joy trying to add the account, tho the working account was in there so it was stored somewhere on the PC and maybe if i knew i would find the other there too and could delete it and maybe that would help if something in it is corrupted. Uninstalled office again and looked to see if that folder at C:\Users\Dale\AppData\Roaming\Microsoft\Outlook was still there and it was, so i deleted it and found the one in program files was there still too so deleted that. Then restarted and installed office again. Nothing. It just will not connect to the server.

I know you're thinking the email server may be having a issue. But i can go to it as webmail and i get and can send emails from it. Plus the fact it started when i moved that file sugg... Read more
