Question: Access Database formats

Hi, I have an old access 2000 format database. I need to open this in access 2003, but am getting errors saying the db is of an unrecognized format. I have also tried the "convert database" utility in access 2003 also, but get the same error.Any ideas anyone? Thansk.

I recommend downloading and running Reimage. It's a computer repair tool that has been proven to identify and fix many Windows problems with a high level of success.

I'm building a database application in Visual Basic .NET and I want to know what is the equivalent code of this when I want to make a connection to mysql:

Hi,
I don't support Access, nor have I been trained in it, but I've been asked if I can help in this problem.
An Access database connects externally to a SQLServer database at login time for the application. How do I find which external database they are connecting to? I know that there is a way to go behind the forms to see the source code, but I cant remember how to do this.
I cannot find an obvious User/System file dsn on the PC to give me a clue.

Here's the question- how do I open a form in an existing database from another db in Access 2010 using VBA and give it focus. I can open the external db and it's form but cannot figure how to give it focus. I'm trying to create a master form that will call various databases that each have a form. Seems simple, open the master menu, click on a button that then opens the called db and the associated form. Do my business exit the db and am back at the master form. I would be okay to just close the master db, all it has it the main menu or leave it open. Doesn't matter which I just want to open the called db and form and have its focus.

I have MS Access 2000. I initially created a long book list several years ago. I recently found a template from the MS database for books that I downloaded that I like better. I have tried importing the data from the old database to the new one but with no luck. Both are in Access 2000. I am running Win2K.

I am sure that the answer to this is so simple, but for the life of me I can't figure it out.When entering numbers into a table in a database that i have created i cannot get decimal places to show, even though I have tried to force this by using "2 decimal places " and fixed decimal places. Not only does the decimal place not show, but the entry is rounded to the nearest whole number.Please help before I lose what little hair I have left.Mike

Our Helpdesk application stores all notes in large memo fields (almost BLOBS) and does it with rtf format codes in it.

I am looking for a way to extract / show only the text.
We use MS-Access routines to do this.
I have a workaround and depending upon the ammount of text in the NOTES field (large MEMO) it takes very long to remove all the unnecessary RTF code leaving only as much of the plain text so that it can be used in reports or queries.

I have attached the textfile containing the module with then function RTF2Txt I use now.

I would appreciate any suggestions.

I know that using other applications will simplify matter but we must have this in MS Access

Any help tips or suggestions, code advice etc etc is welcome.

I am working for a company that has four people (four different computers) entering data into four different Excel 2010 files on a shared drive. I would like to create a master file on my own computer for the purpose of generating reports. How do I create one Access database that includes all of the information from the four different excel files? Also, can this Access file be continuously updated as the four Excel files are updated each day? Thank you!!!

I have on a Laptop, an Access 2013 program feeding an accdb database. I want to move subject database or a copy of the accdb database to a new PC with Access 2013 installed. Both computers are running on Windows 10. I considered copying the laptop database to my Kingston Data Traveler but I can't even find the directory where the database should be.

The only other thing to add Is that I programmed the record input software using Access 2003 and copied it onto my laptop with Access 2013 installed and which works fine. Later, I saved the MDB database into the Accdb format (Access 7).

I would like to set up an MS Office Access 2003 or even 2007 file and put it online for my team to enter data into. It seems as if Google Docs, my first idea, does not facilitate MS Access mdb files.Any safe suggestions would be most appreciated.

According to what I've read, Access 2010 uses the same database format as Access 2007. So this should mean I can open and run a 2007 database (with a lot of VBA code) in Access 2010 with no trouble, yes?

So why do I have the feeling that something is not going to work? Is it because I have been through to many Access upgrades?

Open XML formats or OpenDocument formats - which one should I choose?

When installing Office, which is the better choice
I thought XML - I know the XML file structure

But then something like Apache Office (or whatever it's called) use the OpenDocument format (I think)

Any advice would be great

Hi there,

The OOXML documents are more widely used/accepted. The Open Document Format (ODF) became prevalent around the onset of Office 2002 (consequently right around the time Microsoft began exploring the creation/acceptance for OOXML) and gained quite a bit of popularity, due to its open-source approach (eg. OpenOffice app), but with the advent of the OOXML format, along with its many benefits, has become the de facto standard, which goes above and beyond what the ODF (originally developed by Sun Microsystems for OpenOffice platform) standardizes. This has been a highly politically charged debate for well over the last decade. Personally, I like a widely accepted standard, which I think the OOXML format provides.

Hello All,
Our company had a photo booth with an F-35 fighter jet at a recent technology show. Individuals were allowed to have there pic taken in front of the aircraft with a pretty model. Now I have over 2500 pictures and over 2500 individuals that need their pic emailed to them. I have an Access database with a name, email address and a picture. Each name has a different image. How can I automatically send each person their picture through Outlook? I would like it to automatically populate a new email with the address and corresponding pic then have it be sent on its way while I am home sleeping. Can this be done? Is there a command that can run a VB script in Access to accomplish this? I thank you profusely in advance.

Ok I have one more question-a few people have other versions of Access in my program and need to use the database that I created in Access 97. A few people tried and couldn't open it. Is there an easy way to converting this so they can use it on their computers? Thanks for the help.
 

Answer:Access 97 database in Access 2000?

Access should prompt them to either open the DB file or convert it to the newer version on startup. If it doesn't you can open the newer version of Access and go to Tools > Database Utilities > Convert Database.
Warning: Everything in your DB may not convert properly so be ready to do some work if this happens.

Hi everybody! I have a problem with my MS Access and can’t use the wizard for creating database objects (forms, report, table, queries, etc). Whenever I choose Wizard option to create those database objects, I get the following error message:

Microsoft Access can’t find the wizard, or there is syntax error in the Declaration section of a Visual Basic module.​
The wizard you need may be missing from the libraries key of the Microsoft Access section of the Windows Registry.
To make sure that the wizard is in the Windows Registry, run Setup to reinstall Microsoft Access, and the compile all Visual Basic modules in the database.​
I reinstalled the MS Access as instructed in the message, but I don’t know where to find and compile those Visual Basic modules. I also don’t know how to get to libraries key of the Microsoft Access section of the Windows Registry.

I tried to reinstall the software by using two different versions of software CDs (MS Office 2000 and XP) and both failed to solve the problem. I also tried unsuccessfully to access Add-Ins feature from the Tools menu in order to add the missing component. Please help me!

Funny I had the same error last night. I ran Setup from the CD (from RUN prompt) checked off the access wizard. Then went and did what I was doing, it still asked to install the feature but it worked that time.

If that does not help the is an MS article, basically, if you are in "Break mode" of a module that could also cause it.

I have a database for an engineering project that has 3 main tables. These are the ProjectCode, the Area and the Costs
The ProjectCode has multiple Areas and the Areas have multiple Costs. Data entry to the Costs table includes a [ProjectCode], [Area] and an [Amount Aus]

My Area Table has all the area / project code combinations entered as these all have an individual budget figure that needs the costs to compare to

I want my database to be able to sum up the [Amount Aus] in the costs table and update the field [AmountAus] in the Area table, but only for the costs that match the [ProjectCode] and [Area]

Question: MS Access Database

Father is running a television repair business. I thought that an access database would be a great way to log in when a customer called. Some information on the customer, television type, the problem etc.

I've looked through the microsoft template, I found a 2003 version of the database program that I want but it involves a lot of b.s. that I can't figure out. the 2007 versions are a bit more user friendly, but I'd rather turn the 2007 version to want 2003 can do or atleast the template does. the really cool part about this database is probably the different things you can do. One, you can create an invoice based on the items you set to price and add the taxes to them, then you can add things like different employee's etc etc. I've tried to do it myself, but, there's no real 'help' and i honestly don't know my way around access.

I am using a form to enter data that is updated to table. The problem is that the calculated fields in the Form do not update in the table while everything eles does. Can anyone help please.

Generally, calculated data isn't stored in tables. There is no need for it. If you calculate data, you use it in queries or reports . . . when you create a report, you base it on your query, not your table.

My son is trying to design a booking system for time slots completely in Access as part of a college project. We are having trouble in making the availability of a slot conditional on it not having been booked already.We have designed a booking form which offers timeslots in the form of a combo list box. We are able to apply validation to eliminate multiple bookings, however we would like the booking form to only offer available time slots (and not to display those already booked). Any ideas how this can be achieved please?

Hi all,

I have an issue with an access database. When I print out a report one of my columns only prints out 4 out of the 5 digits. This happens with 2 machines. On other pcs the 5 digits appear in output of the report. I have checked the resolutions of the pcs and they are the same. I have expanded the column widths in design view and still the problem persists. I cannot figure out why only 4 digits appear out of the 5.

Can anybody help?

I have an access database, one of the forms I am working with has a subform. I want to be able to print part of the main form, and parts of the suboform. I can do this by inserting the form key number and the subform key number, then it prints what I want. What I am looking for is to be able to be in a clients record and push print and without having to enter anything it prints the fields in the form and the subform that I have in a report. I hope this makes sense. Is there a macro that I can put together to do this?

The simplest way although it may not seem like it, is to do the following:
Create a Join Query that includes both tables/queries (whatever your using), and create Joins on the 2 Key fields (related), this query should then become the control source for you report.
Now in the new query go to the field that contains the data you will be selecting on the form. eg the ID for the Main form

In the criteria row right click and select Build, find your form and find the Id field control name. The syntax will be:

[Forms]![FormName]![ControlName]
Now if you don't already have one, place a button on your form that opens the Report or query, it should only display the records for the selected records.

This called "Filter by Form"
Any problems let me know I or some one else can walk you through, it works I use it all the time.

I have this access database that I from another user which I want to customize so that I can use it. The form has about 28 records with a yes or no fields. Now what I need to do is add more records as I have stuff to add that will require the user to ans. with a yes or no answer. My problem is that I am unable to add more questions (lines or record). i'm currently developed a database using microsoft access. the database is about an insurance company. i need to do a database that store the unit manager, agen, client, policy and proposal.
i had build the table and relationship. i also had input the agen and unit manager (UM).
but what should i do now.
i need to separate each agen according to the um and also the client.
i also need to give output so that when i insert um code or agen code, user can see the client info, or the agen info.

please.. i really need your help...

I am trying to produce an access database for client names and addresses to be entered using a form but I want the establishment address to be automatically completed if the establishment name when entered is in an existing table of names and addresses. I want to store the address in the new client database table and be able to add a new address if the establishment name does not already exist.

I have tried various ways of doing this including dlookup, and on afterevent with no success. It seems a very logical thing to do but I cannot get Access to do it. I would be grateful for any help.

I have created a tracking program using access, the main tracking page contains name, address, phone numbers, computer information etc. I also have two fields that I insert the problem, and then the fix, then that is printed out to give to the customer. whenever the customer brings their computer back in for service, I do a search for their account, and it brings up all the pre existing info. There last problem and cure are still in there... I would like to find some way if it's possible to make this dump the items to a database for each customer in case I want to go into it again and look at past events. Then the next time I open their account, the problem and cure fields are empty, but their data past problem and cure will still be in there.....
I almost have this program or database to where it will do everything that I want it to do.

Any help would be very much appreciated.

First, this is really the wrong forum for this question. It should either be in Applications or Development. I only saw this post because I was checking on a post I made here before but I don't usualy visit this forum often.

If you want a form to open ready to take new data, set it's Data Entry property to Yes. (You'll find that property in the Data tab of the forms properties.) If I misunderstood the question, post back and give more details.

I am developing an Access database, one of the uses for which will be mail merging letters and mailing labels. The database records all contain an Area field, which contains an area code in the range 1-10. I've created a query which allows the viewing of records for specific areas (i.e. it filters the data so I can see just area 1, just area 2, etc). Instead of having a separate query for each area I put [Area?] in the Criteria for Area on the query design so that a box appears when I run the query into which I can enter the area code I want, click OK, and then that area is displayed. This all works fine.However, when I come to try mail merging, the query is not visible in the list of ones I can select in Word! If I make a query without the [Area?] variable in then it works OK (i.e. if I specify "1" as the area criteria).Can anyone advise what I'm doing wrong?

Searching around on the internet, I found a solution to this.Within Word, you have to go into Tools > Options > General Tab and select confirm conversion at Open. This, for some reason, displays a different menu when you select the database as the source for the mailmerge, from which you can select a DDE connection which then gives you the full list of tables and queries from Access.

I need help in creating a database that can be searched.

3 Items are needed...

A 2 digit year entry
A 6 digit numerical entry (need to be able to enter less digits)
A 4 digit numerical entry (need to be able to enter less digits)

I need to be able to search the 6 digit number and have it tell me what 4 digit number is associated with it.

I am hoping I am making this clear...

Hey i need some help with a project i have for work.

my boss wants a type of program set up that controls our stock and products.

In this program i want to be able to input product codes categories invoices suppliers stock on shelf and stock on order and maybe a few similar things.

do u think microsoft access will be able to help me create this? or is there another program out there that will make it easier to do?

please help i havent started it yet just trying to educate myself as best i can and everday my boss asks how its all goin.

What kind of products are you dealing with?
Do you "Supplier" lists?
Do you have more than one Supplier for items.
Is the stock used within your area ie by yourselves rather than being sold to a Customer?
Do you want Categories and Sub Categories of stock?
Do you have "Re-Order" levels? (Minimum stock when a new order is required)

I am unable to pen my database. It gave me an error message saying it is corrupted. I tried to do repair it but I was unsuccessful.

Don't you have any Back-ups?
Try opening a "new Blank" database and on the Main Menu, File>Get External Data>Import and then point it the corrupted file just to see if it can be opened that way.
If it can then on each set of Controls (tables, queries, forms etc) click selct all and then OK

I have a database where I enter part number description, and cost. I also have another database that is updated all the time with this information in it. I would like to be able to link or however you do it. I would like to lets say put in the part number and then when I push enter or tab the description and cost field populates.

any help would be great.

you can link by selecting the table tab in the DB window and then click NEW followed by selecting Link. Then search for your other database and select the table you want to link to.

You will now have access to all the fields, it is the same as a table now except you may have sharing issues if the table is opened on the source DB.

You can use this linked table just as a regular table to make reports forms, queries etc. so you may not need the table you created with the same information as it is redundant.

So you can make a form with your linked table with a combo to select the product.

We use Accessdata base to keep track of all our orders. All of sudden two days ago, I go to the "main switchboard" and I get a blank order entry form. In that form, there is a small clickable box and when I click on that it says "The expression On Click you entered as the event property setting produced the following error: The expression you entered has a function name that Microsoft Office Access can't find. *** The expression may not result in the name of a macro, the name of a user-defined function, or [Event Procedure]. ***There may have been an error evaluating the function, event or macro."

I have no idea what this means. Please help.

Answer:Access Database - HELP!!!!

The first thing to try after taking a backup copy of the Database is a "Repair & Compact" of the current one. You should open Accees, not the database and then choose Tools>Database Utilities>Repair & Compact. Choose the current database to repair and Compact and save it under a new name. Open the newly named, repaired database and see if it still has the same problem.

Hi i created an access database for students that keeps track of their personal information as well as a monthly evaluation that they have to fill out, however i do not know how to create a button that i can place on the form that can allow the administrator to go to each student by either last name... sort of like a search engine. I don't know how to do this though, as well as just making a query that only gives me information for just 1 person and i don't have to manually put in the information in the criteria.. this i would also like to make a button or something of that sort..

please help!!! I'm close but no cigar!

I have a requirement to allow the user to do a 'compact and repair' from the system I have developed. I have looked at some code online and tried the following:

Question: Access Database

I have an issue with an access database. When I print out a report one of my columns only prints out 4 out of the 5 digits. This happens with 2 machines. On other pcs the 5 digits appear in output of the report. I have checked the resolutions of the pcs and they are the same. I cannot figure out why only 4 digits appear out of the 5.

Can anybody help?

I have a working Access database on a machine running WIN XP and MS Office 2003. I transferred that database file to a new machine running Vista Ultimate and MS Office 2007. When I try to open the database on the new machine, I get this message: missing reference dao2535.tlb. How do I resolve this?

Listen...I looked and can't find anything wrong with it. I recreated the button (find by director), and it appears to work fine...just tells you the macro has been cancelled.

This isn't the first time I've been unable to find something wrong with something in Access...I'm pretty sure it's not uncommon either.

What I have done is combine the Order Entry, Inventory Control and Customer Management databases together in Access 97 and I’m trying to get them to work together to be able to update when inventory comes in and goes out of my business.

I’m trying to figure out how to complete the actual receipt of merchandise on a purchase order in the database. I want to put in the current date or earlier (I may use yesterday's date when I finally get around to entering data) as my variables for the timing to update the inventory transaction table (units received and units on hand fields).

Can you give me the operators and operands in the expression builder and the complete proper syntax that I would need to tell an event has happened and to update the table.

Hello, I am using Access 2000 and have created a database with a command button that opens up a report via a macro. I would like to know how to open up single reports instead of pushing a button that brings up every report, I've been able to open up reports that are based off of queries, queries that have paramenters that need to be inputted in order to bring up single unique records, but I would like to be able to just create a button that brings just that particular unique record-report off of that particular unique record on that form. Meaning that for a record that had just been inputted for John Doe on a form, I would like to know how to create a button on that form to pull up John Doe's single report without having to build a query that asks for a parameter. Is there anyway to do this?

You will have to adapt this to your own form setup; but it's just using the Where line of the OpenReport macro action.

If on the form MyFormName you have two controls called txtFirstNm and txtLastNm, and in the query underlying the report you have two fields called FirstNm and LastNm, you would put into the Where line of the OpenReport action:

I have an access 2003 database that calls a VB6 module. The module starts and then I get a run-time error 75 path/file access error. I can execute the vb module outside of access but I have to run as administrator for it to work correctly. What can I fix so that the call from access will execute? I believe the issue is with comctl32.ocx and the status bar control inside the vb module.

Hey all,

I have at least two user's that access a 212 MB Access database. It was working fine up to a few days ago. Now they are having some funky stuff happening. Using both or either Access 2000 and Access 2003 they are getting this error message some times when they try to open the database:

"You do not have exclusive access to the database at this time. Any changes you make may not be saved."

This happens to multiple users. When they access the database a .ldb file appears indicating it is locked. Some times the user can make changes and some times not. The file is located in a place similar to this: G:\share\subfolder\atc board database.mdb

I've Google'd the error message and haven't found anything that really fixes the issue. Any thoughts?

Hi.. I've been asked to do up an access database to keep records for a computer workshop.. My knowledge on Access is a tad (ok maybe fairly) rusty..

Here's what I've got in mind.. (see attachment).. hope that you can read my scribble.

I'm just not sure on how to get access to actually perform the phone number lookup to see if the customer exists in the database, and also use the customers info to link (or fill) fields in the jobs table.. so basically each time a service job comes in the customer doesn't need to be re-created in the database each time.

Hi,

I have an access database.

I decided to make a mde file with it out of curiousity. It has now taken my database and password protected it. I never set any password and as such cannot get access to the database.

It has taken my user name from my login, but it is not using my login password.

Does anyone know how I can override this, or reopen an older version of the database.

I want to share a database from my Windows XP pc with a laptop with Vista. I have tried network sharing, usb replicating and cannot get the information I put into the laptop to replicate on the pc. I have a feeling this should be easy, but cannot find a way to do it. Help much appreciated?

Are you using replication to allow you to work on the laptop remotely and then synchronize the changes later on? If so, after you make the data changes and network them back together are you using "Tools">>"Replication">>"Synchronize Now"? This will synchronize the changes you have made in both.

A Grocery Database that allows you to compare prices for various grocers in youe area including the impact of 1. Coupons and 2 coupon doubling and tripling. Last would be historical data of pricing. From this you couls create a shopping listfor each store each week and predict when prices will be at their lowest and coupons have the reatest impact.
I'm a newbie to Access and had a VB class over 16 yrs ago. I've done a lot of input to the main table just trying to get an idea of how to manage it with queries & reports. Any ideas? I know it's a lot so i'll understand if it's 2 much.

Hi! I'm a web designer - new to databases.

I'm setting up a database for a DJ company, and wanted a second opinion. Is it better to create one table called "Events" (which would necessarily hold a space for only occasionally required fields like BridesName and GroomsName), or to break the table down into a table for Weddings, Parties, Mitzvahs, etc. and either risk some form of redundancy. I'm leaning toward the first option, but wasn't certain, and wanted a second opinion.

i'm very much a beginner at java. i'm currently working on a database application and i'm using access to create my database. my instructions say that i'm to create a database w/ four tables and then lists the fields for each table. but i'm having a little trouble w/ the access part of this.

my problem is that my instructions for the fields will look something like this:

lastName varchar (30) NOT NULL
)
i can create the table and, of course, i can create the fields, but i'm not sure where i need to implement "int DEFAULT AUTOINCREMENT" and "varchar (30) NOT NULL." will that be done in my java code or do i need to do that somehow in access? i'm not asking anyone to do my homework for me, i'm just having trouble w/ access. i've emailed my teacher w/ this same question, but i have a feeling that i'll get faster replies here. any help will be appreciated. thanks.

Sorry, I do not know Java at all, but I do know Access. Those look like instructions to Access.
The first "int DEFAULT AUTOINCREMENT" means Use an Integer value and it is Autoincremented by the table.
The other 2 mean Text of 30 characters (maximum presumably" but must not be Null ie nothing, so an entry must be made.
Why not try implementing it and then make some entries and see if that is what happens.

Unless security has been applied to the database you should get the option to Upgrade it when you try to open it in Access 2000.If you get this option to upgrade, follow the prompts and save the new file as a different database name to prevent overwriting the original.If you get a specific error message it is probably down to having security applied to the database or that it has been compiled as part of a distributed program which will present real problems.Copy any error messages you get and post them in here.T

My boss has just called a meeting to discuss the security of our databases. Currently we have every one of our sales team (who deliver quotes on site) with a copy of the current database on their laptops (no points for guessing security risks there...). This gets updated about once a week by them coming into the office and downloading the new version. The DB itself hold current costings to our company and the sales agents run a front end to give a accurate quote at that time.

My boss has asked us all to come up with suggestions on how to get remote access, while on the move, to this database. He wants the staff to only be able to read the database and not mess about with it. It should really only be used for reference from the front end.

My immediate reaction to this was just to bung it all online and let them use a webpage to log in and view the up-to-date database. Then I remembered the 'while on the move' part.

He is looking for a wireless system. So that no matter where our sales agents are they can get access to our DB.

Can anyone suggest any systems that I could look into implementing or has anyone got a system currently running that would fit this scenario?

That's not a realistic expectation. I'll let the network people explain it better than I can. However, access to the database itself will require either a web front end over SSL or a VPN link back to your office using the existing application.

Does anyone know of a program/option/tool to repair a microsoft access database that can be run from command line (I don't want any user interaction, I want to be able to schedule it).

The systems do not have Microsoft Access installed, they use a Delphi program with ado connections to an ms access db, and the delphi program runs a compact every time it opens, but the db still gets corrupted and needs repair from time to time.

Currently, I have to log onto the machine, open odbc and do a repair through that, but I would like to be able to schedule a regular repair to run without needing a connection to the db, and hopefully avoiding the user ever seeing the error message.

So far, all I have been able to find are programs that use a gui interface (which I can do with the odbc), or programs that require ms acess or ms access runtime installed, neither of which exists on these machines.

Any suggestions are appreciated!

I've been tasked to set up an Access Database that will accept input from Excel spreadsheets (from a template file that is created and distributed to several employees. The files will contain about 25 fields, some inventory and some dollar amounts, as well as a few contact information type fields. I'm okay up until this point.

Now, these templates will be completed once a month and turned in. If the data was replacing the previous amounts in the fields, I'd know how to do this easily, but the daya needs to be tracked for each month. So, January will have a customer account with 25 fields. February, that same customer account will have new data (potentially) in all 25 fields. So rather than have one record for each customer, I'll need to have one for each month that goes by.

I may be sounding vague on this, so ask questions as needed, but I'm not sure how to go about this. If I create a February record, the customer info, account number, etc will all be the same, so wouldn't that cause issues going forward? If there's no easy way to do this, does that mean Access might not be the best solution? I believe Access was suggested so queries could be run to extract data.

It depends on how your data base is keyed, but that could work.
When you name the tables for the months make sure you add the year to it so you don't run into an issue next year (January13).
It would make it harder to run a report showing the data from multiple months depending on what you need to pull from it.
To me it's hard to help someone set up data base tables with out more info and seeing what the already have and knowing what type of reports they plan to run.

Depending on the amount of employees you plan to max out at have you thought about a multiple page Excel file.

I have downloaded the book collection database from microsoft website but i would like to alter it a little.

When i am entering the details of book on the second box down you can click on the box and enter the books topic IE crime, romance, thriller and so onand then when you enter the next book you have only to enter the first letter and it is entered automaticly.

My question is how do i copy this feature as i would like to have another so i can easley enter where i got the books from without having to type all the infomation in.

When I go to generate a report in an Access database that consists of about 10 plain text pages, the program crashes. Task manager says not responding. ONLY Access is open, nothing else. And this is a 1.3 Ghz with 256 megs ! Any pointers ? Thanks !!

I used Access 2007 in W7 to create a business programme for orders, invoices etc. This worked OK for many years, but twice recently clicking on the the desktop shortcut just results in an error message "can't find the shortcut database". I have searched through the computer but can only find very old versions, nothing recent, although the dates on the old copies are current. There is plenty of room on the hard drive.

It sounds as if the desktop shortcut to the database is corrupt and pointing to the wrong location.
You can check where Access should, by default, be saving databases. Open Access 2007, Click on the MS button top left, Choose Access Options(bottom right in that window) and on the popular tab it will tell you where it should be saving the database.
If you open that location you should find your databases.
Right click on your desktop shortcut and choose properties and check the target location.

Hello:
I have this database that I need to complete. I have completed the basics but can not seem to figure ot how to do the rest of it. Can someone help me.

Here is what I am trying to do:
1. Final section greyed out when no is selected for response
2. Change current stage field when key fields are populated
For example:
- When exit meeting is entered, the current stage should automatically change to tracking.
- When response needed is not checked, current stage should be completed.
- When response needed is checked, current stage should be in acknowledgement.
3. Have the BOG and Internal Due Dates Met fields automatically calculated in the background

I am trying to set Ebay's Item No as the primary key in Access 2000, but it will not allow me to do that. I keep getting null number errors no matter what I try. Nothing at all works. Is this a problem with this version of Access, or does anyone know how to circumvernt this? Built an accounting database:AR, AP, CD,PR,JE, GL........etc.

nphcpa, welcome to the forum.
I am not sure what "AR, AP, CD,PR,JE, GL........etc." are, but it sounds like the overall design of the database may not be optimal.
The fact that you have to have the "move data from tables to GL" suggests that the data should be in a GL table but identified by it's source and split up via Queries for data input/editing.
As for item 2 it sounds like you should have a "Line Entry" sub table and subform for the Transactions.
Can you show me a screenshot of your table Relationships?

Ive been trying to put a copy of my database onto a cd-r. "save & save as" on the file menu are always in faint writting and i can not select them. Any idea's as i desprately need to give a copy to my unie teacher? Help Me Please

First, make sure it is not Read-Only (right-click, Properties). If you are trying to save the whole database, then you should be able to save as to the CD. If you are trying to just save a table (or some other portions of the database), make a blank database and import those items into it.

We have quite a hefty database (approx 90meg) that we would like to split into 2 smaller databases.

The plan is that if a certain "Date" field is older than a set date or another field = "Closed" then these records can be move to a archive database. The archive database needs to still have all the forms, queries and reports.

Is there software to do this or is it a case of make a copy of the database as the archive then manually delete the records that match the above criteria.

In access, create a new blank db. Go to File...Get External Data...Import...

Import all tables, queries, reports, etc. that you want.

In the table in the new DB, run a maketable query, pulling all records where Date < (cutoff date) or other field = "Closed".

This new table will have your backup info. Delete the table you initially imported.

I'm trying to import a database to an existing database. Both are identical, aside from their WO_NUM field, which distinguishes each record (and is primary key).

I have enough information in the database fields to make the database I want to import match. The problem is that the database is not allowing me to manually enter data. When I try a manual increment of the WO_NUM table, I am getting the following message:

I'm assuming you are importing the tables, it seems like you are importing the primary key also, that will cause a problem because there will be duplicates.

You can try dumping the table into Excel and strip off the ID column and then import the excel table or Paste it into the table. Access will create new ID's for it.

Hi :

is it possible to compact a password protected Access 2000 database from code? I tried this:

DBEngine.CompactDatabase "c:\backend.mdb", "c:\backend1.mdb", ";pwd=password"

but I get an "Invalid password" error. Yet the password correctly opened the backend.mdb without a fuss in normal circumstances.

Any help would be greatly appreciated.

Answer:Compact Access database

I don't think you can compact a DB from code unless the code is run from another DB.

See... a DB has to BE closed to compact it.
So it stands to reason that you can't be running code while it's closed...

Furthermore, if I wanted to remove a customer than I would need to delete his record.However, if I do this I will have no back up data of him. I assume I cant keep a record of customers becuase if I want to clear the room than he will dissappear from the database completely????

I've been tasked to set up an Access Database that will accept input from Excel spreadsheets (from a template file that is created and distributed to several employees. The files will contain about 25 fields, some inventory and some dollar amounts, as well as a few contact information type fields. I'm okay up until this point.

Now, these templates will be completed once a month and turned in. If the data was replacing the previous amounts in the fields, I'd know how to do this easily, but the daya needs to be tracked for each month. So, January will have a customer account with 25 fields. February, that same customer account will have new data (potentially) in all 25 fields. So rather than have one record for each customer, I'll need to have one for each month that goes by.

I may be sounding vague on this, so ask questions as needed, but I'm not sure how to go about this. If I create a February record, the customer info, account number, etc will all be the same, so wouldn't that cause issues going forward? If there's no easy way to do this, does that mean Access might not be the best solution? I believe Access was suggested so queries could be run to extract data.

You can have two tables in Access, one with Customer account details with a unique ID (autonumber should work fine) and the other with the monthly transaction details.
When you are adding the data from the spreadsheet, you could update the existing customer details or add new customer details, and insert the transaction details in the other table for that customer using the ID as reference.

I haven't thought about this fully, so there could be gaps in the logic

EDIT:
1. Whenever you are adding the data from the spreadsheet, you would need to check if the customer already exists in the customer table and insert or update as necessary (if updating, get the customer ID for inserting the transactions).

2. Even when you are updating the customer record, you will need to make sure it has to be updated (could be spelling mistakes in the new record)
