Preferred Solution: How to backup Gmail emails to PST Outlook file format?

I recommend downloading and running Reimage. It's a computer repair tool that has been proven to identify and fix many Windows problems with a high level of success.

I've used it in the past to identify and fix everything from blue screens (BSOD's), ActiveX errors, corrupt files and processes, dll/exe/sys errors, recover lost memory, Windows update problems, defragging, malware removal etc.

You can download it direct from this link (This link will automatically start a download of Reimage that you can save to your computer.)

The question really says all about what I want to do, or need help on. I recently signed up for a new outlook account to try out the new outlook preview and I've set up gmail to automatically forward new messages to my outlook account so that I can use outlook to manage my gmail account.

Do any of you know how I would be able to forward the old messages, and not the new ones, to my outlook? I already know that they can be fetched into outlook by outlook's very own service, forwarding would be faster, so..?! Also, since I now use outlook to send email on behalf of my gmail account, how do I make it sync each email I send using outlook with my gmail - so that gmail has it all?

TY in advance. Please do help.

If you move everything to the inbox, and choose to retrieve all in the pop settings it will retrieve all of it. Then setup your outlook like you want it

I was just thinking, use windows live mail, set up IMAP and add your gmail account. Then you can move all the email to your live email, and it will show in too

Hi All,

I use outlook for about 4 email addresses (work and personal). I also do volunteer work for a charity and have an email address for that which is a gmail account.

I have tried repeatedly to set this gmail account up in Outlook but it didn't work. The only way I have found is to have two separate outlook account where I choose if I want to open my normal account of the charity account but cannot do both at the same time.

This is very frustrating as I need to be able to see my calendar and contacts when using the charity account.

Please help

I have always used Hotmail with Outlook Express - I can send and receive Hotmail emails from my PC. But now that Microsoft have threatened to withdraw free POP access, I have decided to try GMail.
I have got my GMail working with Outlook Express. I can download all my received emails into a folder on my PC, but I do not appear to be able to download my sent emails.

Is there a way to do this?

Thanks in advance for any information you can give.

I use Outlook 2010 which syncs to my IMAP Gmail account.
This works very well.

Today something happening in Outlook (I might have dragged something, I don't know) and my mails (12,500 of them) ended up in Outlook's deleted items folder. Some Gmail folders just vanished, like Sent Items, Bin and Spam.

I immediately quit Oulook before it synced so all my mails are still safe on Gmail's servers. I checked via logging in to the Gmail website and also disabled IMAP to be safe.

I need some advice on how to fix the emails in Outlook.
I'm afraid that if I start syncing the mails will be lost from Gmail.
I also don't want to start a new Outlook .pst file as there are many gigs of emails to sync.

Does anyone have some advice?

Hi, when I searched the forums for posts on Microsoft outlook I found posts in the windows and the computer software areas, a majority of the posts appeared here so I thought I'd try posting here.Okay, here's my situation: I currently have an email account with Adelphia and I use Microsoft Outlook 2003 to access that it account.  I setup Outlook so that when I receive the emails from the Adelphia account Outlook removes them and transfers them to Outlook (meaning a copy of the emails don't remain in my Adelphia inbox).  I've decided that I want to stop using Outlook, mainly due to the fact that it makes it difficult to access my emails from computers not on my network account.  I've decided to switch to a gmail account (for other reasons involving irritation with Adelphia). My problem is that I can't figure out how to get my emails from Outlook 2003 to my new gmail account.  I've looked in the questions and answers section, the forum, and both faq on gmail and outlook official pages and still can't figure it out.  I think I've figured out a way to redirect new incoming mail, but that's not my concern what I need is to redirect my old emails.  I know that I could just forward all of my old emails to my new gmail account, but that will be a huge hassle and the emails would then show up as being sent from me and not the original sender.  If I can't figure out another solution I'll do th... Answer:help transfering emails from outlook to gmail

I'm not absolutely sure but I doubt very much this can be done.  Think about it.  With Outlook, your mail is on your hard drive, not out on the Internet.  With Gmail, it is out on the Internet; it's web-based mail.  I looked at the info on Gmail on Google's site and, like you, found nothing about transferring mail from Outlook.  So, I no other option but to forward the mail to yourself if you really must get it all moved over to Gmail.

Hi there,

I've recently set my parents up with a Gmail account but am having problems with transferring their emails from an Outlook PST file to their new account. I've tried following the tutorial at the link below without success - mainly due to the fact that Outlook seems to be very unstable on their machine (hence the change to Gmail).

Are there any other ways of migrating these emails across to their new account? Note that the migration tool offered by Google does not work as the Gmail account isn't connected to Google Apps for Business.

One possible solution is that I could migrate their emails via my Google Apps for Business account though I imagine it would take forever to then forward these emails onto them (most likely manually using the Forward) option?

OK...Running Vista Home Basic on my Dell PC...5 days ago at 9:23pm I received my last email in Outlook (2007). Computer was idle at work. No problems for 4 years until now. 2 weeks ago went with a new ISP and did not change the codes for SMTP/Pop3/Imap because it was all working the exact same way--frankly, didn't think about it. Come in and there are no new emails. Hit Send/Receive and nothing happens. NO WAY, I get 50 a day. Go to Gmail account and it stopped at the same time. Find all new messages in Trash folder then all filters were removed to see what happened next. Emails were visible on screen (inbox) after that-and still are. After that, gmail icon started showing bottom right of my screen with my incoming emails--FROM 2009/10/11! All I had deleted last year and I am sure I emtied. My Outlook number of items in Inbox continues to grow every time I hit Send/Receive, lines "bounce" on screen as if items are going to appear but they don't. I get the outlook envelope showing emails from January to March 2012 downloading along with New Items in Mailbox icon as of today. I can hit on the email as it (icon) pops up and read it but if it passes it is totally GONE! Since gmail was fixed, about 7000 emails have gone into my inbox but not one of them are visible. I feel it will continue to download until we get to the present date as it is downloading from past to present. I have since entered the new ISP information, got the Congratulations on my test email... Read more

Answer:2007 Outlook/Gmail Account --Where are my emails going??

Any chance your old ISP was Rogers?

I thought that when you use POP , your email address is hosted and stored by the ISP.
Meaning, say your ISP was called Teleweb, your email address would have been [email protected].

I'm confused as to why you did not need to change the POP settings if you changed ISPs.

Im thinking your old ISP cancelled or disabled your email account, which may be contributing to the problem.

Also Gmail is webmail, so ISPs cannot influence how Gmail behaves. Were you forwarding your mail to the gmail account?

so I just connected outlook 07 with my gmail account, after deleting unwanted emails in outlook, the deleted emails still marked as unread and still there in my gmail account.

does any know how do I delete emails in my gmail just by using outlook?

Answer:deleting emails in outlook, not connecting with gmail

Depending on how you're connecting to gmail it may not be possible. I know it's not possible to delete emails on the web server if you're using an HTTP or IMAP connection. By default, most tutorials tell you to use IMAP and POP isn't enabled be default on a gmail account.

To Enable Pop in Gmail:

1. Sign in to Gmail.
2. Click Settings at the top of any Gmail page.
3. Click Forwarding and POP/IMAP.
4. Select Enable POP for all mail or Enable POP for mail that arrives from now on.
5. Choose what to do with your messages after they're accessed with your POP client or device.
6. Configure your POP client* and click Save Changes.

To Configure Outlook 2007 to connect via POP:

1. Enable POP in your email account. Don't forget to click Save Changes.
2. Open Outlook.
3. Click the Tools menu, and select Account Settings...
4. On the E-mail tab, click New...
5. If you are prompted to Choose E-mail Service, Select POP and then select Next.
6. Fill in all necessary fields to include the following information:
7. Click Next... You're Done. (Manual Cofiguration)

in outlook 2010, i understand one can use a gmail account without actually opening up the gmail account, that is he can run the account from outlook, does that mean one can delete messages also, just like a regular account.
when i try to delete a message, it deletes it from the inbox of that gmail account in outlook 2010, but under the gmail folder it updates itself, and downloads it again, even after i delete it from the gmail folder also.

Answer:deleting gmail emails from outlook 2010 folder

Hallo tapuz, you may have to sign into your gmail account and delete all your old messages.
From there select settings in the top RH corner
Then select Forwarding & pop/imap tab
In the pop download column go to option 2 and in the drop down box select delete gmails copy
Then select save changes.
This will stop gmail saving a copy once Outlook has downloaded it to your computer.
I hope this solves your problem, if not post back

So we have a little networking group which is a Fun non-profit thing here in Atlanta,
and we have a little over 500 names on the mailing list and counting.

What is the Best Free solution to emailing the whole mailing list all in one go?

Both Outlook and have restrictions over a certain number of email address's.
We tried, but that has restrictions also, and many of those emails end up going to our recipients junk mail folder.

We don't do any fancy invite newsletter stuff, but putting together a Microsoft Publisher mail-out would be a nice option. but we prefer the quick and simple shout-out with a few words on time and place!

Does anyone have a good solution?

I have a Windows 10 phone. I use the Outlook Mail app that comes with the phone. My current email is a Gmail. When I loaded my phone I used my Microsoft account, which is also linked to my gmail account. In outlook, I made sure to ADD my GMAIL account and use the snych settings for email, calendar and contacts.
Calendar is great, contacts are great. When I check my emails, the emails come in just fine.
When I delete an email in the outlook app on my phone. The email is still in my GMAIL. I have tried to look up different things I can do but I can only find responses that do not work.
I would really like to use the Outlook app for my phone, but sometimes I do check my email on a computer. I would like those 2 to work with each other. Not by themselves.

As I have a couple of Gmail accounts, I use Outlook 2010 (running under Windows 7) to consolidate them together and use it for reading, sending and archiving all my emails.
Until recently I have been able to manage my emails without problem, but within the past few weeks I have run into problems sending emails using Outlook for my Gmail accounts. Messages are stored in my Outbook but will not send. This does not happen all of the time, only intermittently, and even if I press the send/receive button, or reboot Outlook 2010, the messages remain in the outbox.
The only way I have managed to send them is to reboot my PC and then restart Outlook - then the messages send automatically as they normally should do and the outbox is cleared. However after a while, and not on every Outlook session, the messages do not send from Outlook unless I reboot my PC again.
I have checked my email settings and as far as I can tell they are OK (as they normally work):
Incoming mail server: and port 995
Outgoing mail server: and port 465
and outgoing server set to require authentication.
I get no error messages - the emails just remain in the outbox until I reboot the PC.
Can anybody advise how I can resolve this issue?
Many thanks for your help.

If your question is answered exactly as you presented it, then you must physically destroy the hard drive to prevent recovery by anyone. Your question really requires more details.

1) Clarify that you do mean Outlook and not Outlook Express. What version?
2) Are there backups made?
3) Define anyone.

For normal everyday use, deleting works fine. For FBI or other legal authorities, destroy the hard drive. Probably the answer you want is somewhere inbetween.

I used to use a program called "Mailbag Assistant" to backup my message from Outlook Express. This program archived the messages so I could search them at a later date if I need to refer back to anything. It stored the messages in it's own folder, which meant that I could periodically catalogue them with the Assistant and then delete them from OE, thus making it operate faster because it wasn't clogged up with old messages.I've recently switched to using Outlook rather than OE, and have just discovered the Mailbag Assistant isn't compatible with it's mailboxes and so can't archive my messages.Does anyone know of a program that would let me archive messages in a similar way that would work with Outlook?ThanksGary

Ok I have a ton of old emails and I have the old programs file of the HD it was on. I pulled the folders i thought would have any info to my laptop to try and gt these old emails back for a court case I am in.

However I am at a loss as to where Outlook downloads and stores emails and what format they are in.

I do know it was atleast outlook xp but most likely outlook 2003. Either way I need to access those emails.

Can anyone help out?

Ok now I have the files mentioned but when I go to open them I get this:

File access denied. You do not have permission to access the requested file.

Ok now what the heck do I do? I am using office 2003 and I believe I was using either office xp or 2003 when I had this outlook account. (Import does not work either)

Answer:Where and in what format does Microsoft Outlook XP and 2003 Keep emails?

Generally, they are stored in a pst file. If you have outlook open, then (in 2003) click on 'Tools, Options'. Choose the 'Mail Setup' tab and click on 'Data Files'. This tells you the full path to the pst file. Normally, it is;
%USERPROFILE%\Application Data\Microsoft\Outlook\Outlook.pst

Of course, this is entirely customisable (ie: you can change where the pst file is located). In older versions of MS-Outlook (eg: 97 and 2000), it is similar, but I think (by my rapidly fading memory), it can be obtained via the 'Mail' option in the control panel.

At a guess, if you installed outlook with the defaults on your old HD, then it will be in the path specified and you should be able to import this file. You may have to save the outlook.pst file onto your laptop and then import it by choosing 'File, Import and Export', choose 'Import from another program or file', choose 'Personal Folder File (pst)' and browse to the directory where you saved the pst file. Make sure you import the messages into another folder, otherwise they will be imported into your 'Personal Folder' and will be nightmarish, trying to sort out what were imported messages and what were your original messages.

I want to make a backup copy of my contacts and emails I have received and sent onto a CDRW so that I can intermittently update it.I tried to export my contacts as follows:File-> Export or import-> Export to a file-> Personal folder file-> Select folder to export from... contacts-> Options... replace duplicats (whatever this means)-> Save exported file as:C:\documentsandsettings\jamesroberton\localsettings\applicationdata\microsoft\outlook\contactsbackup.pst (I edited in the "contacts" bit-> Encryption... none selected (why would I need any?)-> Password (now I was really concerned, what was going on I was just trying to make a copy of some files, what was this password business?)This didn't work. I am sure that it made a backup file somewhere on the C drive but that is of no use to me. Why is this so difficult? Surely this is a common task that even ordinary people can manage.I have no idea how to even attempt to make copies of my emails. Also I noticed when exploring my C drive that I have a Microsoft Address book nestled in there. I had no idea about this. I have just been putting all of my contact info ino the outlook contacts book. What does everyone else do?Any help appreciated.James

I have a backup of a folder on a slave drive. If I try to open it, it just opens OE. I am trying to locate one email in the folder, is there a way?

Answer:Outlook Express- display backup emails

Is the folder a .dbx file? If the folder has .eml files in it, you should be able to open and read it the same as any other document, .txt, .doc, .xls etc.Try this if you are talking about folders in .dbx here

I have an old system and a new system.
I am running outlook 2010.
Currently on my old system I have a few POP3 email accounts and also lots of emails in seperate folders (sorted by the rule filter).

I backed up the outlook to a .pst and then imported this on the new machine.
Great, I have my emails etc...!

Problem: When I create my email account again on the new machine, it seems to want to download all the emails again.
How can I prevent this from happening and just to "continue" as normal?
Maybe something I need to set up/configure on the POP3 provider?

Answer:Outlook 2010 backup/restore emails

Hello ahmedilyas.

I think is the resolution to your problem:
Don’t re-download all emails |

When starting with a new mail profile (which gets created when you configure your new computer), Outlook is unaware of what has been downloaded already by another mail profile. That is why Outlook starts to download all the messages again.
Some mail servers allow you to set a date from which emails are being offered to a POP3 client or allow you to set the option to download from the current day onwards.
For instance, Gmail can do this in the following way;
Log onto the web based version of Gmail.
Click the Settings link in the right top corner.
Select the ?Forwarding and POP/IMAP? tab.
Set the option: Enable POP for mail that arrives from now on.
Press: Save Changes
If your web based mail account doesn?t provide such an option, and you still want to leave the messages on the server, then you can move all the emails that you do not want to download again to a different folder on the server. As POP3 only offers messages from the main Inbox, Outlook can?t see the other messages so it won?t download them again either.

Some web based mail accounts also offer an Archiving option which makes moving your items to another folder on the server much easier.

Hope that helps. Please let us know if you need any further assistance.

I am experiencing the BSOD when attaching a file via any app/program.

As soon as the file manager box appears the BSOD follows.

I have removed both expansion cards (Wireless card and graphics card) hoping it would help, but no such luck.

Any assistance will be greatly appreciated.

Answer:BSOD attaching a file via any app (MS OUTLOOK, Gmail, etc).

I recommend updating your Intel Gigabit Network driver.

Use the Intel Update Utility Tool.

You can download it here.

Before changing drivers, make it sure that you have earlier System restore points made in your computer. You can check it easily by using CCleaner looking at Tools > System Restore.

If there is no points, make a System Restore Point Manually.

I have three email accounts with gmail connected to outlook 2010. Sadly the PST file contains all the emails from my email addresses and since I hate deleting emails the PST files are huge. Is there a way to set up outlook so it only goes back X ammount of time for storing email on my system and have some other way to access anything older?

Right now I have 10 GB's of files on my laptop and I am sure my desktop to. So I would much rather shrink that down as much as possible, if not then I can move the files to a none OS HDD, but with my laptop at least hard drive space is somewhat limited.

My laptop died last week. Fortunately the hard drive was unaffected and I have this now in a USB enclosure that I can access via my new laptop.

The problem is that the old machine came pre-installed with the SBE version of Office 2007 whereas the new one came with a trial version of Office 2010, which has subsequently been activated as the Starter edition of Office 2010.

So, I have an Office 2007 pst file and only Windows Live Mail on the new laptop.

Can anyone suggest a way of bringing the pst into WLM?

I've already done extensive searching for a solution but they all seem to require that there is a running version of Outlook in order to extract the data from the file and present it in a way that WLM can import.

I did look at Mailstore Home but it says that this configuration (pst) is only supported in the Server version, which having been installed refuses to run claiming the trial period has expired.

Any suggestions please?

Would it just be simpler to fork out another ?150 for a key for Office 2010?

Answer:Recovering emails from Outlook pst file

Hi there
download and install pfbackup.exe from the ms site.

Then open outlook backup -- in 2007 it will be added to the main file menu as BACKUP or in 2010 it will be in the ADDINS folder.

Then in the open backup just point the directory to your .pst file

it will then add these folders a local folder which you cam open as normal mail, move the mail to your current active folders and then close it again.

here's the link -- although it doesn't say outlook 2010 it works fine.

I would like to know where my emails get stored when using OUTLOOK 2007.

I mean the actual emails with the attachments etc. I usually back up and save my data.pst file. Are the mails also stored there ? So that after i restore my system i would like to do a fresh reinstall of OUTLOOK and want all my emails back with the same folder structure etc.

I would also like to know where it stores my email account files ? The one where we create the emails with the passwords etc. Or the email accounts / profiles as they might be called. Or will i have to recreate them every time i reinstall OUTLOOK. I have exported the MAIL RULES to a safe place and tried restoring them also and they work fine. I want to do the same for the 5 email id pop3 accounts i have setup in outlook.

Hi I would be really grateful if anyone can help me out with this problem...

Girlfriends mum has gone away on holiday... my hard drive broke... I borrowed girlfriends mum's hard drive, formatted it and installed my own OS on it.

Girlfriends mum calls she can access email address from the email provider abroad ( but she says that she needs to delete some emails because apparently her inbox is full. I didn't think and installed new OS without saving any of her outlook files to an external HD. No pst file, address book nothing!

I have logged into her email account online and she only has six emails there.

Which brings me to my question, has the old outlook stored up the old emails? Are they on a server somewhere? As I stupidly formatted the old hard drive without transferring the outlook files is there any way to rescue them?

Any help or suggestions would be awesome and help to save me from the dog house!

SUMMARY: email inbox full, email account linked to outlook on hard drive which has been formatted, no outlook files saved (pst) need to delete old emails which can't be seen on email providers web site, HELP!

Once again thanks!

Answer:Access emails from Outlook after the drive has been formatted? No pst file saved!

If outlook was configured to download the messages without having a copy on the server, then all the files are gone after the drive formatting.
You can try the Symantec Unformat or Unerase programs to try getting the whole drive back to the state before you format the drive. It is not 100% reliable that it will unformat or unerase all your data, but you can give it a try. Unformat will revert the WHOLE DRIVE, so any info you have now will be "lost".
Both programs run under DOS, so im not quite sure if you can make a bootable Floppy or USB and load the files there, then run them and see what happens.
Other than that, I do not remember any other programs to get information back.
It might worth a try this links:

Good luck.

I have Outlook 2003 and have lots of emails from my clients that I used to keep in individual folders in my personal folders. After looking at data file management, I created new data files for each of my clients and moved all their emails into each data folder - all OK so far!I also use an add in for Outlook called pfbackup which is to automatically back up my pst folders. This worked prior to me creating the data folders. When I try and back up now I get an error message which says "cannot move personal: The filename, directory name or volume label syntax is incorrect"I can manually export the datafiles but I really would like the ability to back up the files on a weekly basis with just mouse click rather than spending 15 mins or so manually backing up.Any suggestions? Thanks

Answer:Outlook 2003, data file management and PST Backup

Outlook pst backup is a time consuming process if it is a full backup. It may be good to consider a product which have incremental feature and ability to deal with open files. From the documentation of pfbackup, I could not makeout if it was incremental. One example of scheduled incremental backup of open pst would be <click here>.Regards.

I have just recently converted from using Windows Live Mail for my email to Gmail. Mainly because there was not an easy way to sync my contacts between WLM and my Android smartphone. Syncing is much better now, but the system differences is taking some getting used to. I notice when I am using Gmail and search for a past email, many times Gmail doesn't find it. I try it searching by contact name, by contact email address, and by subject. Of course, I can scroll back through my old emails and find it manually, but it is frustrating that Gmail cannot spot it quickly. It seems to have the most trouble when I am trying to find a SENT email. Sometimes, one I just sent yesterday. I click on the "Sent Mail" folder and the search box shows "in:sent". I type the info and nothing is found. I have tried it backspacing over the "in:sent", and with leaving the "in:sent" in place before my info. Neither way seems to help. Is there a setting I am missing?

Every once in a while I'll have an email discussion with someone blow up.  All of the emails are open, and they are in backwards order each in indenting a little off from the other one on their left margins, and they form a kind of systematic tree where they branch off of each other systematically.

You need to post screen shots.   I have never seen Gmail "permanently unthread" a threaded discussion though you can change views.  The relationship is in the e-mail headers themselves and all the e-mail client (or web interface) does is use that information to create a threaded view/conversation view.

Hi,Just recently the emails that were going into my WLM account are being redirected
into my gmail account.
I sent a test email from WLM which goes into my sent folder but not my inbox.
Is there a way to set it up so that gmail goes to gmail account and my emails
go into my WLM account.
Thanks for any help.
OS is Wndows 7 64bit

Answer:WLM emails going into my gmail account.

Hello Tommy,

What do you mean by "WLM account" ?
Is this an, or, or ISP (btinternet), or ... account?
WLM (Windows Live Mail) is a Client (installed on PC) email program and can have many email accounts.
Do you have multiple accounts setup in WLM?
Every email provider I know of also has a WEB site where the user can read/send/manage email.
Are you using WLM for some email, and WEB email for other email?
Each email provider may offer different protocols such as IMAP, POP, MAPI and that can make a difference in what folders are used for a client program such as WLM.

Then there's a "Windows Live account" if that's what you're talking about, and Skype can affect things from what I've read...

Below is a screen print from WLM 2012 showing my "WLM accounts".
I have 2 hotmail accounts here - 1 is MAPI, and 1 is a gmail and outlook account...
I mainly use Office Outlook for all my email, but I do use WLM on "test" systems for email that I know I don't need to keep ...

As you said it's a "recent change", can you restore to a point before the problem started?
Do you know what changed to start the problem - Patch Tuesday updates perhaps?

Answer:emails will not open in Gmail

we do not operate an email service and having email on public address can be a problem - so i have edited your post - i guess your email for the forum is gmail, which is causing an issue on subscribed posts

i would clear all the temp files and cookies etc from the browser

A long time back, all my emails started going into my allmail box instead of my inbox.
Most of the time, that doesn;t bother me. But there are times, when i lose focus on the allmail.
Then I have to try and remember the shortcut to get back to allmail, or to go the sibebar, where Inbox is on top and below that "important" and so on. But to get to allmail, you have to go down to more, and find AllMail as a submenu in that. It might even be necessary to make the browser page smaller, so you can see the More menu.
So is it possible to either (a) get messages to go into inbox, or to bring Allmail up to the top of the sidebar, where Inbox is located.
The second one would be my first choice, as that's where my most of all my emails are ie in allmail.
But if i can only do the first thing ie get messages to appear in my inbox, is there a way to move all mails in my allmail box to my inbox?

update. Okay, after all these years, i have found out that all mail refers to archived mail.
So if all my mail is going into archived mail, does that mean that at one stage, i chose to have all my mail be archived. Perhaps I hit something invaderntly.
I came upon this, because I had another question about Archived mail. I was wondering if I was looking at mail, in all mail, and ticked a post, and chose to archive it, and then deleted it, was it still in the archive. But as I am in the archive (all mail) I am deleting it from the archive, or am I.

Answer:how do i get all my new emails in gmail to go to my inbox?

all mail refers to archived mailClick to expand...

No, All Mail is exactly what it says. Mail in every location: Inbox, any folders you created, archived emails, trash and spam.
There is a label in front of the subject line telling you where that particular email is located.
When you delete from the archive it moves to trash. You will see it in All Mail with Trash in front of the subject.
You can also see it if you open Trash.

Go to settings: (gear icon) then click on labels. If you cahnge All Mail from Hide to Show it will appear at the top rather than having to click the arrow aside of More.
